About the Role
We are a growing property investment company seeking a detail-oriented **Lease & Contracts Administrator** to support our portfolio operations. This dual-focused role combines general administrative support with the critical responsibility of reviewing, analysing, and managing commercial leases and contracts. You will play a key part in protecting the company’s interests, ensuring compliance, and keeping our property assets running smoothly.
Key Responsibilities
**Lease & Contract Management**
- Review, analyse, and summarise commercial leases, licence agreements, side letters, and related contracts
- Identify key commercial terms, risks, obligations, renewal/break options, rent review clauses, and unusual provisions
- Maintain accurate lease abstract databases and critical-date diaries (rent reviews, expiries, breaks, options, etc.)
- Prepare lease summaries, comparison matrices, and exception reports for internal stakeholders
- Assist with lease negotiations by flagging issues and preparing mark-ups or comments
- Track and manage landlord/tenant correspondence, notices, and compliance documentation
- Support due diligence on acquisitions and disposals by reviewing lease portfolios
General Administration & Operations Support
- Provide high-level administrative support to the property investment and asset management teams
- Maintain accurate records, filing systems (physical and digital), and document management platforms
- Coordinate meetings, prepare agendas, take minutes, and follow up on action items
- Assist with invoice processing, service-charge reconciliations, and basic financial administration related to properties
- Act as a central point of contact for internal queries and external service providers (solicitors, managing agents, surveyors)
- Help streamline processes and improve efficiency across the team
Ideal Candidate Profile
**Essential**
- 2+ years’ experience in a similar role within real estate, property investment, commercial property management, or a law firm (real estate team)
- Strong ability to read, interpret, and summarise legal/commercial documents (leases and contracts)
- Excellent attention to detail and organisational skills
- High level of written and verbal communication
- Proficient in Microsoft Office (especially Excel and Word); comfortable with document management systems
- Ability to manage competing priorities and meet deadlines in a fast-paced environment
- Discretion and professionalism when handling confidential information
**Desirable**
- Paralegal qualification, law degree, or relevant real-estate/property qualification
- Knowledge of commercial property law and standard lease structures
- Previous experience in a property investment, private equity real estate, or asset management environment
- Familiarity with service charge and insurance provisions
Pay: $80,000.00-$120,000.00 per year
