Role Summary
We are looking for an enthusiastic and organized Front Desk Clerk to join our team. You will be the primary point of contact for all members and guests, ensuring a positive experience from the moment they walk through our doors.
Key Responsibilities
- Perform opening and closing procedures for the venue, including unlocking/locking the facility, powering equipment on/off, and completing all associated checklists
- Greet and welcome all members and guests warmly upon arrival
- Manage court reservations, bookings, and scheduling using our facility management software
- Process membership sign-ups, renewals, cancellations, and upgrades
- Handle check-ins and check-outs, verify memberships, and issue day passes
- Answer incoming phone calls, emails, and in-person inquiries in a timely, professional manner
- Process payments, issue receipts, and reconcile daily cash and card transactions
- Maintain a clean, organized, and welcoming front desk and lobby area
- Provide information about programs, lessons, leagues, open play schedules, and events
- Assist with event coordination and communicate promotions to members
- Monitor and manage court availability, resolving scheduling conflicts as needed
- Coordinate with coaches, staff, and management to ensure smooth daily operations
- Handle member feedback and complaints professionally, escalating issues when appropriate
- Manage lost and found, lockers, and equipment rentals where applicable
- Assist with social media updates and posting announcements as directed
- Complete administrative tasks including data entry, filing, and reporting
- Maintain compliance with facility policies, safety procedures, and health guidelines
Qualifications
- Post-secondary education required
- 1–2 years of experience in customer service, reception, or hospitality preferred
- Excellent interpersonal and communication skills in English; proficiency in Mandarin is a strong asset
- Proficiency in Microsoft Office, Google Workspace, and/or booking software
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Positive, energetic attitude with a passion for sports and community
- Reliable, punctual, and professional in appearance and manner
- Must be willing to accept a shift work schedule; early morning and late evening shifts are required based on operational needs
- Ability to work flexible hours including evenings, weekends, and holidays
- Knowledge of pickleball is an asset but not required — we will train the right candidate!
