The Role
We are seeking a reliable, organized, and detail-oriented Senior Office Administrative Assistant to support the firm's lawyers, staff, clients, and day-to-day office operations. Key Responsibilities:
Office Administration & Coordination:
- Support daily office operations and maintain an organized, efficient workplace.
- Coordinate communication between clients, lawyers, support staff, and external third parties.
- Assist with client intake, onboarding, and administrative compliance requirements.
- Help ensure the office presents a polished and professional experience for clients and visitors.
File Management:
- Open, organize, maintain, track, and close client files efficiently.
- Monitor workflows, bring-forward dates, task follow-up, and file allocation.
- Keep filing systems accurate, current, and easy for the team to access.
Financial Administration:
- Support accounts receivable, invoicing, and routine accounting tasks.
- Assist conveyancing team with administrative and financial components of transactions.
- Work with bookkeeping and accounting personnel to support firm reporting and Law Society compliance requirements.
- Support file progression by helping identify outstanding tasks and next steps.
Calendar, Workflow & Documents:
- Maintain lawyers' calendars, meetings, deadlines, reminders, and bring-forward systems.
- Assist with drafting, formatting, reviewing, and finalizing legal documents and correspondence.
- Help identify workflow improvements and support consistent office processes.
- Provide guidance and support to junior support staff where appropriate.
Qualifications:
- 5+ years of experience as an office administrator, legal assistant, or senior administrator in a law firm is mandatory.
- Post-secondary education from a recognized legal assistant, paralegal or related program is an asset.
- Familiarity with PCLaw, BC Online, LTSA, conveyancing procedures and legal software is beneficial.
- Strong communication skills with clients, colleagues, lawyers and third parties.
- Sound discretion and the ability to handle sensitive and confidential information appropriately.
- Excellent organization, attention to detail, and the ability to prioritize competing deadlines.
- A proactive, flexible, client-service oriented approach and a positive attitude in a fast-paced team environment.
