Job Description
Atlas Ontario Electric Ltd. is seeking a professional, highly organized, and proactive Office Administrator / Executive Assistant to support daily operations and ensure the seamless functioning of our office.
This role is more than just traditional desk work—it is a dual role combining core office administration with executive assistant support.
Key Responsibilities & Daily Tasks
- Communication Management: Manage correspondence across multiple mediums (email, phone calls, text messaging, etc.). Serve as the central point of contact for clients, contractors, and field staff.
- Financial & Bookkeeping Support: Handle daily invoicing, close out completed invoices, process utility and vendor payments, and prep/send hours to payroll.
- Data Entry & Project Tracking: Perform accurate data entry for project budgets, update in-house tracking systems, and ensure strict adherence to company project procedures.
- Scheduling & Coordination: Actively manage and update the company calendar, schedule inspections (including calling the ESA), and coordinate team meetings.
- Office & Hardware Operations: Manage physical and digital filing systems, monitor office supplies, and confidently operate/troubleshoot office equipment (including specialized printer operations).
Mandatory Qualifications
- Experience: Minimum of 1 year of experience as an Office Administrator or Executive Assistant.
- Financial Software: Minimum of 1 year of direct bookkeeping and QuickBooks experience is strictly mandatory.
- Technical Proficiency: Expert-level knowledge of Google Workspace (Google Sheets is mandatory) and Microsoft Excel.
- AI Literacy: A clear, foundational understanding of how Gemini works and how to leverage it for workplace efficiency.
- Language: Professional English language skills are mandatory (written and verbal).
- Education & Background: Secondary School completed. A background in Business Administration or a related field is highly recommended.

- Workflow Innovation: Exceptional organizational skills paired with proactive creativity; the ability to look at existing setups and think up new ways to organize tasks and streamline processes.
- Design Tooling: Familiarity with Canva is considered a strong asset for creating basic internal documents or presentations.
Our Interview Process
To ensure a great mutual fit, our hiring process consists of three distinct phases:
- Phase 1: A phone-call interview with our current Office Administrator.
- Phase 2: An interview via Google Meet.
- Phase 3: A in-person interview with the CEO.
