Align Wellness is growing quickly, and we’re looking for someone who wants to grow with us.

We manage a digital physiotherapy clinic service operating across 70+ locations in Ontario, helping health and fitness businesses evolve their services by combining a virtual physiotherapist with onsite care teams.

Our mission is simple: help more people stay healthy, active, and supported, while helping clinics operate smarter and more efficiently.

With plans to surpass 100+ locations this year, we’re looking for a highly organized, proactive, and professional Clinical Administrator who thrives in a fast-paced environment and wants to play a meaningful role in a growing healthcare company.

About the Role

This is a fully remote, full-time position supporting patients, clinic partners, and our internal clinical team.

While the role is virtual, this is a highly engaged and collaborative position that requires strong communication, responsiveness, and ownership throughout the workday.

This is not a traditional receptionist role. You will be a central part of our operations and patient experience, helping ensure clinics run smoothly across multiple locations.

What You’ll Be Doing

Managing patient bookings and clinic schedules using Jane App which includes running billing for 70+ locations daily
Answering phone calls, emails, and patient inquiries professionally
Supporting patients with insurance and billing questions
Handling challenging customer situations with confidence and empathy
Coordinating communication between virtual clinicians and onsite partners
Lead physiotherapist and PTA system training calls
Helping ensure the clinical team is maintaining accurate patient records
Assisting with light marketing tasks (create posters using Ai tools and/or Canva)
Helping improve systems as we continue scaling (Prepare or assist with creation of documents using Google slides, sheets, docs)

What We’re Looking For

Required Experience:

Experience working in a clinic environment (physio, rehab, medical, or similar)
Strong working knowledge of Jane App
Excellent communication skills, both phone and email
High attention to detail and strong organizational skills
Comfortable working independently in a remote environment
Comfortable learning and using AI tools and Google Workspace
Ability to manage multiple screens and workflows simultaneously

Home Office Requirements:

Reliable computer setup
Quiet environment
Strong internet connection
Ideally an additional monitor (multiple systems open at once)

Strong Assets (Nice to Have):

Experience with HubSpot
Marketing experience (Canva or similar tools)
Billing or insurance coordination experience
Experience supporting multi-location clinics

Work Style & Expectations

This role offers flexibility, but also responsibility.

This is not a strict “clock-in/clock-out” environment
We value results, responsiveness, and ownership over micromanagement
You must be available and responsive during business hours
You will manage your own workflow and priorities independently
Once or twice per month, occasional billing support may be needed outside regular hours or on a weekend for a few hours
