POSITION OVERVIEW
The Sales Manager leads the centralized coordination and execution of group, workforce, and project-driven business across the hotel portfolio. This role ensures consistency, accuracy, rate integrity, revenue protection, and optimal portfolio utilization for high-volume and multi-market demand.
Serving as a key liaison between Sales, Revenue, Reservations, and Hotel Operations, the position supports pricing discipline, manages complex group logistics, and ensures all opportunities are properly documented, tracked, and fulfilled. This role also provides operational support during surge demand periods, including large-scale projects, emergency response, and wildfire events.
This position can be primarily located in Calgary or Edmonton. Travel up to 25% is required
SKILLS, EDUCATION AND EXPERIENCE
· Strong working knowledge of hotel property management systems, Salesforce and related hotel systems.
· Demonstrated ability to analyze production, pace, and conversion reports and translate insights into action.
· Highly organized with the ability to manage high-volume inquiries and competing priorities.
· Excellent written and verbal communication skills with strong cross-functional collaboration abilities.
· Strong attention to detail and commitment to data accuracy and process compliance.
· Proficiency in Microsoft Excel and reporting tools.
· Post-secondary education in hospitality or business considered an asset; an equivalent combination of relevant education, training, and progressive experience in the hotel industry (particularly in group sales, reservations, or revenue management) will be considered.
· Minimum of 2-4 years of experience in hotel operations, reservations, sales operations, revenue management, or group coordination within a multi-property or portfolio environment.
· Proven experience managing group, workforce, corporate, or project-based business, including multi-hotel coordination.
· Experience supporting pricing discipline, rate integrity, and revenue protection.
· Ability to work a flexible schedule, including evenings and weekends as required by business levels.
RESPONSIBILITIES
· Serve as the central intake point for all group inquiries across all channels, including RFPs, projects, and workforce-related business.
· Coordinate group, project, and workforce opportunities across multiple hotels to ensure best-fit placement, portfolio optimization, and operational readiness.
· Prepare, manage, and maintain proposals, contracts, group details, rooming lists, turnovers, and follow-up communications.
· Support surge demand related to projects, emergency response, and other time-sensitive events.
· Manage non-managed and low-production accounts, including Local Negotiated Rate (LNR) accounts of 50 room nights or fewer, until transition to Sales ownership.
· Monitor group, project, and workforce lead sources; qualify and distribute opportunities to appropriate Sales teams.
· Maintain comprehensive knowledge of reservation procedures, systems, and workflows, including Opera, Salesforce, Agency360, and related tools.
· Review daily reservation activity, arrivals, and booking pace to ensure accuracy, operational readiness, and alignment with Sales strategy.
· Ensure accurate documentation, activity tracking, and compliance across Salesforce and property management systems.
· Review and maintain each hotel’s segment pace, booking trends, and production performance.
· Support pricing discipline and rate integrity across all markets in partnership with Revenue Management.
· Run, analyze, and distribute production, pace, and performance reports for Sales, Revenue, and Operations leadership.
· Prepare and distribute monthly top account performance reports, including production, pickup, and trend analysis.
· Identify and surface new sales leads using reservation data, market intelligence, and reporting tools.
· Serve as the primary point of contact for Sales regarding reservations, availability, production, and reporting requests.
· Support Sales teams with availability analysis, reporting, and operational coordination, ensuring alignment between Sales strategy and execution.
· Manage and negotiate group business of 25 rooms or more, ensuring rate integrity, contract compliance, and alignment with brand standards.
· Work collaboratively with colleagues and other departments to support shared goals, stay aligned, and deliver quality work.
