ABOUT THE ROLE
We are looking for an organized, proactive, and detail-driven New Development Coordinator to join our New Homes Division. This role is the operational heartbeat of the division — keeping projects moving, ensuring our systems are accurate, supporting our marketing team, and helping our sales representatives and builder partners stay on track.
The primary focus of this role is coordination and execution. You will work alongside a Director of Growth & Strategy, senior site sales representatives, a full marketing team, and a dedicated technology team. Sales leadership is provided by experienced team members — your job is to ensure the operation behind them runs smoothly and efficiently.
There is also a sales support component to this role. You will assist with sales team enablement, incentive coordination, and some day-to-day builder relationship maintenance. The right candidate is comfortable wearing multiple hats while keeping coordination and operations as their home base.You are someone who is energized by keeping things organized, on time, and on track. You communicate clearly, follow through consistently, and take pride in being the person everyone can count on. You may have some exposure to real estate or new home sales, and you are eager to deepen that knowledge in a fast-moving, growing environment.
KEY RESPONSIBILITIES
1. Project Coordination & Operations (Primary Focus)
- Manage day-to-day coordination across all active new development sites — tracking milestones, deliverables, and deadlines
- Maintain and update the Deal Portal and CRM systems (HubSpot) to ensure all transaction data, offers, and project records are accurate and current
- Coordinate offer documentation and transaction support across sites, working with site administrators and the operations team
- Liaise with site administrators to ensure consistent processes and standards are followed across all locations
- Oversee setup and logistics for presentation centres, model suites, and site signage
- Build and maintain project tracking logs; flag issues proactively before they escalate
- Manage calendars, meeting logistics, and action item follow-up for the division
2. Marketing Coordination & Support
- Coordinate with the marketing team (design, email, digital) to ensure campaign assets are delivered on time and aligned with project needs
- Manage the marketing calendar, listing update schedule, and distribution of builder collateral across active sites
- Track and compile campaign performance metrics — open rates, lead volume, registrations — for leadership reporting
- Support the coordination of email marketing sequences, social content, and event promotional materials
- Ensure all marketing materials are project-specific, on-brand, and accurate before distribution
3. Sales Team Support & Enablement
- Support site sales representatives with day-to-day operational needs — tools, information, resources, and scheduling
- Assist in coordinating sales incentive programs and agent engagement initiatives
- Track sales team KPIs and compile weekly performance summaries for leadership review
- Coordinate and schedule broker events, open houses, launch activations, and site visits
- Assist with onboarding and orientation of new site sales representatives
4. Builder Relations Support
- Serve as a consistent day-to-day point of contact for active builder partners on operational and administrative matters
- Prepare and distribute weekly sales summaries, market feedback, and competitive analysis reports to builder clients
- Capture meeting notes and track action items from all builder touchpoints
- Support the Director of Growth & Strategy with builder onboarding and project launch preparation
5. Technology & Reporting
- Champion consistent use of the in-house softwares and ensure all team members are trained and using it correctly
- Work with the Technology team to identify workflow improvements and automation opportunities
- Support the adoption of AI-assisted processes for offer writing, reporting, and meeting preparation
- Produce weekly and monthly KPI dashboards including units sold, GCI, conversion rates, and marketing ROI
- Deliver performance reporting to leadership and builder clients on a consistent schedule
WHAT YOU BRING
Required:
- 1–3 years of experience in real estate, project coordination, marketing coordination, or a related administrative role
- Exceptional organizational skills — you manage multiple priorities simultaneously and nothing falls through the cracks
- Clear, professional written and verbal communication — comfortable dealing with builders, agents, and senior leadership
- Proficiency with CRM tools, Microsoft Office / Google Workspace, and digital platforms
- A proactive, solutions-first attitude — you see what needs doing and you take ownership
- Comfortable in a fast-paced, multi-site environment where priorities can shift quickly
An asset:
- Real estate license or registration (RECO) — not required but an advantage
- Experience with new home builder processes, APS documentation, or new development sales environments
- Familiarity with Deal Portal, HubSpot, or similar real estate CRM or transaction management platforms
- Prior experience coordinating marketing campaigns or working alongside a marketing team
- Experience in a builder, developer, or real estate brokerage environment
