Human Resources Coordinator

We're looking for a Human Resources Coordinator who is excited to help create that experience for our team.
Reporting to the Human Resources Manager, this role plays an important part in supporting HIEC's people, culture, and workplace experience. The Human Resources Coordinator will help ensure our HR programs, systems, processes, and employee initiatives continue to evolve and improve as our organization grows.
This position is responsible for a blend of HR administration, employee engagement, learning and development coordination, recruitment and onboarding support, HR systems administration, health and safety coordination, and policy and compliance support.
The ideal candidate is highly organized, dependable, approachable, and proactive. They enjoy helping people, creating structure, improving processes, and bringing ideas to life. Most importantly, they are someone who takes initiative, follows through on commitments, and enjoys helping move important work forward.
This role is well-suited for someone who enjoys balancing hands-on HR administration with opportunities to contribute to broader organizational initiatives within a growing not-for-profit environment. As the organization continues to evolve, there will be opportunities to progressively take on additional responsibilities and further develop within the Human Resources profession.

What You'll Be Doing
Supporting Our People and Workplace
- Serve as a first point of contact for employee questions and HR-related support.
- Help coordinate employee engagement initiatives, wellness activities, recognition programs, and team events.
- Assist with internal communications and initiatives that contribute to a positive workplace culture.
- Support employee relations processes and HR administration as required.
- Contribute to creating a positive, inclusive, and engaging employee experience across the organization.
Recruitment and Onboarding
- Support recruitment activities, including job postings, screening, interview coordination, candidate communications, and reference checks.
- Participate in interviews as appropriate and support candidate evaluation.
- Coordinate onboarding activities to ensure new employees have a welcoming, positive experience.
- Assist with maintaining job descriptions and recruitment materials.
- Continuously identify opportunities to improve and enhance the onboarding experience.
HR Systems, Learning and Development
- Maintain employee records and HR systems, including BambooHR and other HR-related platforms.
- Support HR reporting and maintain accurate employee data and records.
- Coordinate learning and development activities, training assignments, and Learning Management System administration.
- Maintain training records, certifications, and compliance documentation.
- Identify opportunities to improve learning resources, training participation, and employee development programs.
Health and Safety, Compliance and Continuous Improvement
- Coordinate the day-to-day administration of HIEC's Health and Safety program, helping ensure ongoing compliance with legislative and organizational requirements.
- Maintain health and safety documentation, communication boards, training records, inspection records, and related compliance materials.
- Coordinate Joint Health and Safety Committee (JHSC) activities, including meeting scheduling, agenda preparation, minutes, action item tracking, and follow-up.
- Coordinate monthly workplace inspections and track corrective actions as required.
- Support incident reporting, investigations, documentation, and follow-up activities in partnership with the Human Resources Manager.
- Assist with return-to-work and accommodation processes.
- Support the development, implementation, and maintenance of HR policies, procedures, and compliance initiatives.
- Assist with audits, reporting requirements, and legislative compliance activities.
- Identify opportunities to improve HR processes, resources, systems, and employee programs.
HR Operations and Organizational Support
- Support the Human Resources Manager in implementing HR initiatives and organizational priorities.
- Assist with research, planning, and coordination activities related to HR programs and projects.
- Develop and maintain HR resources, templates, trackers, and documentation that support efficient operations.
- Provide support with workforce planning, succession planning, and organizational initiatives as required.
- Take initiative to move assigned work forward independently and ensure timely completion of deliverables.
- Demonstrate flexibility and a willingness to support organizational priorities and operational needs as they arise.
- Perform all other duties as assigned.
What You'll Bring
- Diploma or degree in Human Resources Management, Business Administration, or a related field.
- Three to five years of progressive experience in Human Resources, People & Culture, administration, or a related role.
- Experience supporting recruitment, employee programs, HR administration, and workplace systems.
- Working knowledge of Ontario employment legislation is required.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent interpersonal, written, and verbal communication skills.
- Professionalism, sound judgement, and the ability to maintain confidentiality.
- A proactive, dependable, and resourceful approach to work.
- Experience with BambooHR, Learning Management Systems, or similar platforms is considered an asset.
- CHRP designation, or working toward completion, is considered a strong asset.
- Experience working in a not-for-profit, mission-driven, or growing organization is considered an asset.

Working Conditions
This is a full-time, permanent position operating on a hybrid work arrangement. The regular work schedule is 40 hours per week.
Occasional evening and weekend work may be required to support organizational events, training sessions, employee initiatives, or other business needs. Travel to HIEC's office and off-site locations may be required from time to time.
