The Access and Privacy Administrator reports directly to the Access to Information Coordinator/Privacy Officer and supports the Access to Information and Corporate Privacy (ATICP) program in the delivery of access and privacy program services, products, activities and initiatives. The position is the central point of contact between the ATICP Office and the City of Calgary in the daily administration of the corporate access and privacy program. Major Duties include:

Intake officer - receiving access and privacy intake/complaint forms. Review for completion and process payments (if required).
Support the review of current workloads and assignments of new cases to ATICP employees.
Update and track status of cases in the Access and Privacy File Management system.
Communicate and provide guidance to the public regarding requests and informs them where the information may be readily available.
Administer transfer access requests, specifically when records are requested that belong to other public bodies.
Respond to telephone and email inquiries from the public or internal City of Calgary staff.
Inform applicants on process to submit an access to information request or privacy complaint.
Financial responsibilities including: set up and update of accounts, end of month cash summary, paying of invoices.
Order of supplies, track inventory and place maintenance service requests.
Support responding to requests from other public bodies that have City of Calgary Records.
Prepare and send final correspondence to applicable public body.
Support Access and Privacy Training/Learning Sessions. Prepare material, take notes, create evaluation forms, order food and refreshments.
Collect content, create and publish Access and Privacy newsletter or resource materials.
Plan events (maintain contact lists, create and distribute agenda) for internal and external partners.
Prepare reports, track progress on outstanding requests.
Data enter report findings.
Records Management.
Follow standardized practices and procedures and general work instructions.

Qualifications

A completed 1 year certificate or diploma in Business Administration, Paralegal or a related field, and at least 1 year of experience in a regulatory or legislative environment.
Preference will be given to those applicants with experience and/or training in the Protection of Privacy Act (POPA).
Excellent communication and well-developed organization skills. In addition, attention to detail, analysis and research skills, the ability to work in a team environment and the ability to develop strong relationships.
Excellent customer service skills and the ability to remain calm in stressful situations.

Workstyle

This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.
