Job Description:
The Operations Department at CEE plays a vital role in supporting organizational effectiveness, operational strategy, and system design. As part of the Operations team, the Operations Assistant contributes to creating a positive, welcoming, accessible, and community-driven environment that reflects CEE Centre for Young Black Professionals’ vision, mission, and values.
Acting as a representative and ambassador of CEE, the Operations Assistant serves as a key first point of contact for internal and external stakeholders, including employees, youth participants, community members, partners, funders, and visitors. This role supports the day-to-day operations of CEE space by ensuring administrative efficiency, professional communication, and a high standard of client and community service.
The Operations Assistant plays a multi-functional role in maintaining organized systems, supporting project coordination, assisting with events and programming logistics, and contributing to a safe, inclusive, and empowering environment where all individuals feel welcomed, supported, and connected to CEE’s services and opportunities.

Operations Manager, Senior Operations Officer & Events and Operations Coordinator
Key Responsibilities:
Project Support (60%)
- Coordinate project schedules, meetings, and timelines
- Prepare and distribute meeting agendas, minutes, and action items
- Maintain organized project files, records, and shared documents
- Track project deadlines and follow up on outstanding tasks
- Support communication between team members, partners, and stakeholders
- Assist with preparing reports, presentations, and project materials
- Update project trackers, spreadsheets, and databases regularly
- Provide administrative support for project activities, workshops, and events
- Assist with invoice processing, expense tracking, and procurement requests
- Monitor project progress and escalate delays or issues when necessary
- Ensure documentation is accurate, complete, and submitted on time
- Support managers and project leads with day-to-day operational needs
Office Administration (30%):
- Hospitality Representative: Serve as the welcoming face of the organization, embodying the essence of hospitality in all interactions.
- Ensure CEE space is safe, tidy and presentable ensuring that all visitors and space users including CEE employees feel comfortable as the space is accessible and welcoming.
- Perform regular walkthroughs to identify and report maintenance issues; escalate facility needs where appropriate.
- [GT1.1][TA1.2][GT1.3][TA1.4]Provide hospitality and logistical support for onsite meetings and special events.
- Assist with correspondence and distribute internal communications and external emails.
- Support in ordering and restock of office supplies; assist with management of the vendor and supplier list.
Other (10%):
- Other duties as assigned by the Operations Manager (OM) and/or Management Team in response to a rapidly changing environment.
Qualifications:
- A thorough understanding of challenges, needs, and realities of Black youth in Toronto’s priority neighborhoods.
- Knowledge of the impact of trauma, anti-Black racism, and social determinants of health and how they manifest in Black youth.
- Excellent administrative, documentation, and planning skills with the ability to organize, deliver, track and report on competing priorities simultaneously.
- Professional, clear, and respectful communication skills (oral, listening and written)
- Basic understanding and knowledge of business etiquette in email, phone and in-person communication required.
- Understanding of customer service approach and its application to the office/event coordination is required.
- Resourcefulness, initiative, and flexibility to function effectively as part of a growing team.
- Capacity to handle expectations from multiple internal and external stakeholders, while managing competing priorities simultaneously.
- Commitment to the values and mission of CEE.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
- Understanding of core functions of Operations Department for an organization is considered a strong asset.
- Experience working in a fast-paced office environment (both in-person and virtual) is considered a strong asset.
- Project coordination experience is considered a strong asset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
- Experience in Microsoft Teams, Salesforce and Asana, or other project management software is considered a strong asset.
- Access to a motor vehicle is considered an asset.
