Position Summary
The Administrative and Logistics Assistant is a dynamic, multi-faceted role that works closely with the Manager of Operations, Assistant Manager, and company ownership to keep the daily functions of 416 Tactical running smoothly. From coordinating shipments and customs documentation to handling customer inquiries and supporting procurement, this position sits at the intersection of logistics, administration, and customer service. Key Responsibilities
Communications & Correspondence
- Manage the company’s general inbox, ensuring all messages are reviewed and addressed promptly
- Draft and send professional responses to clients, vendors, and partners on behalf of the team
- Route incoming inquiries to the appropriate team member and follow up to confirm resolution
- Maintain a organized log of outstanding communications and action items
Online Customer Service
- Serve as a point of contact for online customer inquiries, ensuring a high standard of service
- Handle customer concerns including:
◦ Product questions, returns, and complaint resolution
◦ Order tracking, updates, and fulfillment follow-ups
- Escalate complex issues to management when required and ensure timely follow-through
Logistics, Shipping & Customs
- Coordinate and monitor inbound and outbound shipments in collaboration with the Warehouse Specialist
- Liaise with couriers, freight carriers, and CBSA to facilitate smooth and timely deliveries
- Prepare, track, and manage customs documentation, duties, and import/export paperwork
- Serve as the primary point of contact with Thompson Ahern Customs Brokerage
- Identify and resolve shipping delays, customs holds, and delivery discrepancies
Finance & Administrative Support
- Process and enter invoices, receipts, and accounts payable documents into QuickBooks
- Cross-reference purchase orders with vendor invoices to ensure accuracy
- Provide administrative support to the Manager of Operations on budgeting and forecasting activities
Procurement & Inventory Coordination
- Process and verify incoming Purchase Orders, conducting quantity checks and product inspections upon receipt
- Communicate receiving details and documentation to inventory staff accurately and promptly
- Identify and escalate backorder issues, quantity discrepancies, or product concerns to management
Operations Support
- Support the daily workflow of the operations team, stepping in where needed to maintain momentum
- Assist with internal scheduling, task coordination, and cross-departmental communication
- Attend team meetings and contribute updates on active files and outstanding action items
Qualifications & Skills
- 1–2 years of experience in an administrative, logistics, or operations support role
- Hands-on experience with Shopify, QuickBooks, and procurement or bid portals
- Working knowledge of customs brokerage processes and CBSA requirements is a strong asset
- Excellent written and verbal communication skills with a professional presence
- High level of discretion when dealing with sensitive business and customer information
- Proven ability to juggle competing priorities and meet deadlines in a busy environment
- A customer-first mindset with a proactive, solutions-oriented approach
- Background in retail, logistics, procurement, or tactical/public safety industries is an asset
Reporting Structure
- Reports to: Manager of Operations and Assistant Manager
- Supports: Company Ownership, Sales Team, and Warehouse Team
- External relationships: Customs brokerage, suppliers, freight carriers, and customers
