Full job description

Overview
We are looking for a full-time highly organized and proactive Administrative Coordinator to support day-to-day operations at GLOW College. This role is central to managing student placements across our Personal Support Worker (PSW) and Early Childhood Assistance (ECA) programs, coordinating campus events, and providing essential administrative support across our Brampton and Toronto campuses. The ideal candidate takes initiative, manages competing priorities with professionalism, and brings genuine care for student success.

Responsibilities

Placement Documentation and Coordination

Manage documentation and records for PSW and ECA student placements
Coordinate placement logistics and verify that students meet all site requirements, including readiness standards
Identify available placement sites and support students through each administrative step of the process
Liaise with Brampton and Toronto campuses and student life teams via email to coordinate placement activities
Track placement progress and maintain accurate, up-to-date student records

General Administrative Support

Coordinate diploma pick-ups and manage related student communications in Brampton and Toronto campuses
Follow up on outstanding student payments and maintain payment tracking records
Support beauty program revenue tracking and assist with incorporating device sales into program packages
Manage general office correspondence, scheduling, and communications across departments
Coordinate monthly campus events (first weekend of each month), including weekend programming and dance demonstrations
Support planning and logistics for summer camp programming for youth ages 6–16
Assist with ECA summer camp facilitation and related marketing initiatives

Skills

ECA Certification is a strong asset
Familiarity with healthcare or education sector placements (PSW, ECA) is a strong asset
Prior experience in an administrative, coordination, or student services role is an asset
Strong organizational skills and high attention to detail
Excellent written and verbal communication skills; experience coordinating across multiple sites is an asset
Comfortable with event coordination and programming
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Excellent organizational skills with attention to detail for proofreading and data accuracy
Effective multi-tasking abilities in a fast-paced environment
