As the Administrative Assistant with the Essex-Windsor Solid Waste Authority (EWSWA), you will provide essential administrative, clerical, payroll, records management, and reporting support to ensure the efficient operation of the organization. The Essex-Windsor Solid Waste Authority (EWSWA) is the governmental agency charged with the responsibility of providing an economical and environmentally conscious integrated solid waste management system for the County of Essex (County) and the City of Windsor (City). The mission of the EWSWA is to provide programs to manage the solid, non-hazardous waste generated in the County and the City in an environmentally sound manner through processes which include, but are not necessarily limited to reduction, reuse, recycling, composting, and landfilling.
As the Administrative Assistant, you will play a key role in supporting the daily operations of the EWSWA. Working closely with the Manager, Finance and Administration and other EWSWA staff, you will assist with records management, payroll administration, reporting, inventory tracking, customer service, and general office administration. Your work will contribute directly to the efficiency and effectiveness of the organization’s programs and services.
In this role, you will be responsible for:
1. Administrative Support and Customer Service-
Receive incoming calls, visitors, and inquiries, providing information and directing requests appropriately

Type correspondence, forms, reports, and other documentation

Provide ongoing clerical and administrative support to EWSWA staff

Manage electronic and hard-copy filing systems and archives

Complete bi-weekly payroll data entry

Process and distribute personnel-related documentation, including attendance control forms, subsidy applications, new hire documentation, and employee status changes

Maintain accurate records and support administrative processes related to employee and organizational activities
2. Records Management and Reporting-
Assist the Manager, Finance and Administration with records management such as data entry, reporting, and online submissions

Support the EWSWA document retention, records management, and destruction protocols

Compile monthly, annual, and biannual Waste Diversion and Waste Disposal reports for internal management and submissions to the Environment Ministry

Coordinate and prepare information requests for various agencies
3. Inventory and Database Management-
Assist EWSWA managers with inventory-related records management using databases and tracking systems

Support inventory purchasing processes, including requests for quotations (RFQs), delivery tracking, reporting, and budget preparation

Maintain accurate inventory records and supporting documentation
4. Team Support and Collaboration-
Provide backup support for other EWSWA positions as required

Collaborate with staff across departments to support operational and administrative initiatives

Participate in special projects and assignments as required
5. Other Duties as Assigned-
Support additional departmental projects and initiatives as required
Education and Commitment to Growth:-
Must have a Two-year College Diploma in Office Administration – Executive, Accounting, or related discipline
Experience and Expertise:-
Must have one (1) to two (2) years of related administrative experience

Experience with records management, payroll administration, and office support functions

Working knowledge of bookkeeping and accounting practices

Experience with database administration, including Microsoft Access
Skills and Abilities:-
Strong proficiency in Microsoft Office programs, particularly Excel and Word

Excellent organizational, time management, and attention-to-detail skills

Strong verbal and written communication, organizational skills

Demonstrated ability to manage confidential information with discretion

Experience with Ontario’s accessibility legislation and accessibility standards as they relate to written correspondence and reporting
Other Requirements:-
Must possess and maintain a valid Class “G” Ontario driver’s license
- Must have access to a personal vehicle for work-related travel within Windsor and/or the County of Essex

Must provide a Ministry of Transportation Driver Abstract (Uncertified)

Must provide a Police Information Check (PIC) document
Hours of Work
The full-time paid hours of work shall be forty (35) hours per week as scheduled, Monday through Friday between the hours of 8:00 a.m. and 5:00 p.m., including a one-half (½) hour paid lunch.
As a CUPE 2974.1 position, this role is on Band 8 with a starting hourly rate of $32.26, and that is just the beginning. The benefit package is second to none, and the defined benefit plan of the Ontario Municipal Employees Retirement System (O.M.E.R.S) is a pension system sought by many.
