FULL TIME (40H/WEEK)

Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess strong administrative skills, exceptional attention to detail, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment where professionalism and excellent communication are essential. The Executive Assistant will play a vital role in ensuring smooth daily operations and effective coordination across departments.

Responsibilities

Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and travel arrangements.
Prepare, proofread, and distribute correspondence, reports, and presentations with high accuracy.
Handle incoming calls via multi-line phone systems with professional phone etiquette; direct inquiries appropriately.
Perform data entry, filing, and document management tasks using Microsoft Office applications and DocuSign for electronic signatures.
Assist with bookkeeping tasks utilizing QuickBooks; monitor expenses and process invoices as needed.
Provide exceptional customer service to internal teams and external clients, acting as a front desk representative when necessary.
Coordinate meetings, prepare agendas, take meeting minutes, and follow up on action items to ensure timely completion.
Support administrative projects including proofreading documents, organizing files, and managing office supplies inventory.
Maintain confidentiality of sensitive information at all times while demonstrating excellent organizational skills.

Requirements

EXCELLENT FRENCH AND ENGLISH

Proven experience in an office environment with clerical or administrative responsibilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with multi-line phone systems.
Experience with QuickBooks and basic bookkeeping is preferred.
Strong typing skills with high accuracy; excellent proofreading abilities.
Exceptional organizational skills with the ability to prioritize tasks effectively.
Excellent communication skills including phone etiquette and professional demeanor.
Office experience combined with administrative or clerical experience is highly desirable.
Ability to handle data entry tasks efficiently while maintaining attention to detail.

Aider aux tâches de comptabilité en utilisant QuickBooks; surveiller les dépenses et traiter les factures au besoin.
Offrir un service à la clientèle exceptionnel aux équipes internes et aux clients externes, en agissant au besoin comme représentant(e) à l’accueil.
Coordonner les réunions, préparer les ordres du jour, rédiger les procès-verbaux et assurer le suivi des actions pour garantir leur réalisation en temps opportun.
Soutenir des projets administratifs, notamment la révision de documents, l’organisation de dossiers et la gestion de l’inventaire des fournitures de bureau.
Maintenir en tout temps la confidentialité des informations sensibles tout en démontrant d’excellentes compétences organisationnelles.

Exigences

EXCELLENT FRANÇAIS ET ANGLAIS
Expérience démontrée dans un environnement de bureau avec des responsabilités administratives ou de soutien.
Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint), de Google Workspace et familiarité avec les systèmes téléphoniques multilignes.
Une expérience avec QuickBooks et des notions de comptabilité de base sont un atout.
Excellentes compétences en saisie de données avec un haut niveau de précision; très bonnes aptitudes en révision de textes.
Compétences organisationnelles exceptionnelles et capacité à établir efficacement les priorités.
Excellentes compétences en communication, incluant une étiquette téléphonique professionnelle.
Une expérience de bureau combinée à une expérience administrative ou de secrétariat est fortement souhaitée.
Capacité à effectuer des tâches de saisie de données efficacement tout en portant une grande attention aux détails.
Une expérience à la réception ou en service à la clientèle constitue un atout.
