Job Title: Office Manager
Reports To: CEO and Controller
Employment Type: Full-time

Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Administrator / Executive Assistant to support our CEO and executive management team. The ideal candidate will combine strong administrative skills with hands-on operational support to ensure smooth business operations and effective communication across departments. This role also involves bookkeeping responsibilities and requires experience with office management and executive-level support.

Key Responsibilities:

Executive Support & Administration

Provide executive-level administrative support to the CEO and members of the management team.
Manage calendars, schedules, and appointments, ensuring optimal time management.
Facilitate communication between departments and executive leadership to ensure smooth workflow.
Assist with onboarding and training of new employees.
Draft, proofread, and manage internal and external communications.

Accounting & Financial Management

Manage accounts payable and receivable using QuickBooks Online (QBO).
Enter and update financial transactions, invoices, bills, and receipts accurately.
Reconcile bank and credit card statements.
Generate basic financial reports (P&L, balance sheet, etc.) and verify data for accuracy.

Operational & Project Support

Collaborate with the Sales Manager on sales initiatives, proposals, and utility locates.
Implement and maintain time tracking using LMN software or similar project management tools.
Serve as a liaison with the company’s insurance provider for fleet vehicles.
Organize and maintain digital and physical files, ensuring easy access and proper documentation.
Assist with daily office operations and ad hoc administrative tasks as needed.

Required Qualifications:

Minimum 3 years of executive administrative, office management, or related experience.
Proficient in QuickBooks Online (QBO) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with LMN software or similar project/landscape management tools.
Strong organizational, multitasking, and communication skills.
Ability to work independently and handle confidential information with discretion.
Knowledge of health & safety regulations and compliance best practices.

Preferred Skills:

Previous experience supporting C-level executives.
Experience liaising with insurance providers and managing fleet documentation.
Demonstrated ability to train and onboard new employees effectively.
