As a Senior Administrative Assistant (Bilingual) your responsibilities will include:

Ability to be proactive in managing workflow and tasks associated with the day to day needs of partners, practitioners and clients
Working independently and within a team environment to support the External Client Services team within the Business Unit, Office and/or Service Line to produce high quality client deliverables
Preparation and editing of letters and reports using firm templates in compliance with Firm standards
Format and assemble printed and electronic financial statements in compliance with Firm Standards, ensuring a high level of attention to detail, proof reading, and ensuring timely delivery
Technical support for clients with setting up CRA access or accounts and Firm established document sharing
Entering and maintaining client data using Microsoft Dynamics 365 software, creating jobs in D365, rolling forward of jobs/files, and archiving as appropriate for the engagement
General administrative duties including, but not limited to answering and transferring incoming calls, filing photocopying, scanning, e-faxing, mailing and couriers
Provide billing support using Doane Grant Thornton's systems and in accordance with the terms of the engagement including preparing invoices to clients, as well as following up on AR when appreciated
Scanning documents and embedding in electronic file, sending and receiving documents electronically to clients through various secure file transfer platforms, ensuring confidentiality of sensitive information
Managing communications, expense administration and travel arrangement on behalf of team leadership
Supporting the Firm's professional image and culture by demonstrating professional behaviour and building positive professional relationships
Other duties as required

Think you’ve got what it takes to be a Senior Administrative Assistant (Bilingual)? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:

Successful completion of an Office Administration program or related field, 3-5 years of experience in an administrative role (experience in a professional services firm would be an asset). A minimum of a high school diploma is required
Advanced strong knowledge of and experience working with MS Word, Excel, and PowerPoint
Knowledge of CaseWare (and/or Keystone), experience in financial statement processing and experience with TaxPrep software or other similar programs would be an asset
Excellent verbal and written communications skills
Solid business acumen with strong interpersonal skills and demonstrated ability to build positive professional relationships
Excellent organizational and time manangement skills, with the ability to manage competing priorities and work under pressure with multiple deadlines
Strong attention to detail and consistent production of high quality work
Ability to work effectively within tight timelines on simultaneous projects
Availability to work overtime as required during peak business times
Exceptional client service mindset with ability to de-escalate potentially difficult situations
