Position SummaryAs our Financial Analyst, you are the financial backbone of Stem Health's day-to-day operations, the person who ensures that every transaction is accurate, every invoice is processed on time, and every number tells the right story.
Reporting to the CEO and working closely with the operations team, you will manage our core accounting functions: accounts payable, accounts receivable, membership billing, contractor payments, payroll support, and financial record-keeping. Beyond the books, you are a strategic analytical collaborator for the leadership team, distilling complex financial metrics into meaningful narratives that guide our approach to membership scaling, service pricing, and overall clinic performance.This is an early-stage role with real breadth you will be building and maintaining the financial systems of a growing private healthcare organization, and your attention to detail will directly support the quality of care we deliver.
Key ResponsibilitiesAccounts payable and bank reconciliation-
Receive, verify, and process vendor and supplier invoices in a timely and accurate manner.

Manage payment runs and ensure all payables are coded correctly to the appropriate cost centres.

Reconcile vendor statements and resolve billing discrepancies promptly.

Maintain organized, audit-ready records of all AP transactions and supporting documentation.

Perform monthly bank and credit card reconciliations, investigating and resolving discrepancies.

Maintain the general ledger with accurate, timely entries across all accounts.

Assist in the preparation of monthly financial reports, expense summaries, and cash flow tracking for leadership review.

Support HST/GST filing preparation and liaise with the external accountant at year-end.
Accounts receivable and membership billing-
Process and track membership fee collections, private pay billing, and per-service charges.

Issue invoices and payment reminders, follow up on outstanding balances, and maintain accurate AR records.

Reconcile point-of-sale and EHR billing data with financial records on a regular basis.

Support the onboarding of new members from a billing perspective, ensuring payment information is captured accurately.

Track membership revenue trends, churn, and collection rates, surfacing insights that inform retention and pricing decisions.
Contractor and payroll support-
Process payments for independent contractor practitioners in accordance with agreed compensation terms and schedules.

Collect and maintain timesheets, invoices, and payroll data for part-time and contract staff.

Support payroll preparation and liaise with external payroll providers as needed.

Ensure all contractor and employee records are current and compliant with CRA requirements.
Financial reporting and analysis-
Prepare monthly and quarterly financial reporting packages for the CEO, including variance analysis against budget and commentary on key drivers.

Build and maintain financial models to support budgeting, forecasting, and scenario planning as the clinic scales.

Develop and track KPIs across revenue, cost per member, practitioner utilization, and operating expenses, presenting findings to leadership in a clear and actionable format.

Own the annual budgeting process in partnership with the CEO, translating operational plans into a financial model.

Monitor actuals against budget on a monthly basis and provide written commentary explaining variances.

Support strategic decisions — new service lines, pricing changes, headcount additions — with financial modelling and sensitivity analysis.

Assess unit economics at the membership and service level to help leadership understand margin and profitability by revenue stream.
Systems and process-
Work within the clinic's accounting software (QuickBooks) and EHR/practice management platform.

Identify opportunities to improve financial workflows and contribute to the build-out of accounting processes as the organization scales.

Handle all financial information with strict confidentiality and in compliance with applicable privacy and financial regulations.

Build out reporting templates and dashboards that give leadership real-time visibility into financial performance.
Qualifications & Experience-
Bachelor's degree in Accounting, Finance, Business, or a related field; a diploma or certificate with equivalent experience will be considered.
- Diploma or certificate in Accounting, Bookkeeping, Business Administration, or a related field.

Minimum 2 years of experience in an accounting or bookkeeping role; experience that includes financial analysis, budgeting, or FP&A responsibilities is strongly preferred. Experience in a healthcare, private clinic, or membership-based business is a strong asset.

Proficiency with accounting software QuickBooks Online experience is strongly preferred.

Solid understanding of accounts payable, accounts receivable, bank reconciliation, and basic financial reporting.

Demonstrated ability to build financial models, perform variance analysis, and translate data into clear narratives for non-financial audiences.

Familiarity with payroll processes and contractor payment structures, including CRA compliance basics.

High proficiency in Microsoft Excel or Google Sheets including financial modelling, pivot tables, and data visualization

Exceptional attention to detail and a meticulous approach to data entry and record-keeping.
