Legal Assistant at LEGALLY BUILT

LEGALLY BUILT is growing, and we are looking for a sharp, organized, and proactive Legal Assistant to join our team.We are a boutique law firm focused on supporting the people and businesses who shape the construction industry. Our work is detail-oriented, deadline-driven, and relationship-focused, so we are looking for someone who brings both precision and confidence to the role.

About the Role

The Legal Assistant will provide day-to-day administrative and legal support to our lawyers, helping keep client matters, documents, deadlines, and communications moving smoothly.This role is ideal for someone who is highly organized, comfortable taking initiative, and able to manage competing priorities without losing sight of the details.

What You’ll Be Doing

Responsibilities may include:

Preparing, formatting, editing, and proofreading legal documents and correspondence
Managing client files, matter documents, deadlines, and follow-ups
Opening, organizing, and maintaining electronic and physical files
Assisting with billing, time entry, invoicing, and accounts-related administration
Coordinating meetings, calls, calendars, and client communications
Supporting document management, file sharing, and general office workflows
Drafting routine correspondence and emails
Liaising professionally with clients, opposing counsel, courts, vendors, and other external parties
Helping improve internal systems, processes, and templates as the firm grows
Providing general administrative support to ensure the office runs smoothly

What We’re Looking For

The right person will be:

Exceptionally organized and detail-oriented
Professional, warm, and client-service focused
Comfortable working independently and taking initiative
Able to manage deadlines and shifting priorities
Clear and confident in written and verbal communication
Discreet and trustworthy with confidential information
Tech-comfortable and open to learning new systems
Calm under pressure and comfortable in a growing boutique firm environment

Experience and Qualifications

Preferred qualifications include:

Previous experience as a Legal Assistant, Legal Administrative Assistant, or similar role
Experience in litigation, corporate/commercial, real estate, construction law, or related legal practice areas is an asset
Strong document formatting and proofreading skills
Proficiency with Microsoft Office, Outlook, Adobe, and legal/document management systems
Familiarity with legal practice management software is an asset
Legal Assistant diploma or equivalent experience is an asset
