MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of high school and equivalent training program of studies in directly related office skills from a recognized institute plus three years of directly related office experience required.
- An acceptable equivalent combination of education and experience may be considered.
EXPERIENCE:
- Advanced experience with Microsoft Office programs including Outlook, Word, PowerPoint, Adobe, and Excel is required.
- Knowledge of University regulations, programs and procedures, especially as they relate to the Section of First Nations, Metis and Inuit is required.
- Experience working in a First Nations, Metis and/or Inuit Healthcare setting is required.
- Knowledge of the North and of Inuit culture is required.
- Experience coordinating and booking travel, transportation and accommodations is required.
- Experience in a health care setting is preferred.
- Experience with Aurora Finance and/or travel booking systems is an asset.

- Excellent interpersonal skills are required.
- Excellent communications skills, both verbal and written is required. Must have excellent spelling and grammar skills, including experience writing routine correspondence.

- Prepares and processes forms and spreadsheets as they relate to purchasing, payroll, physician, therapist and medical student Government of Nunavut licenses, northern medical staff records, expenses, specialized rehabilitation equipment, maintains all confidential staff files, distributes keys, etc.
- Performs a variety of self-directed responsibilities for the Medical Advisor and Director of Medical Rehabilitation Programs and provides ongoing independent support to the Medical Advisor, Program Director, Northern staff and program Team Lead.
- Prepares weekly program payroll spreadsheet for all out of province med rehab therapists and staff in located in Nunavut and Winnipeg offices and submits to Ongomiizwin Payroll Coordinator.
- Performs basic financial duties which include but are not limited to collecting, compiling and reconciling monthly invoices, journal entries, account adjustments and reports as well as Visa reconciliation for all travel/accommodation/meals for consultants and medical rehabilitation therapists and staff.
- Cross-references and prepares non-routine data (number of patients, total hours per trip, total cost of trips) as compiled by the program Team Lead for final review by the Director of Med Rehab Programs. This information is required for preparation and of budgets and future clinics for the rehabilitation therapists and for reporting requirements. The data is gathered by tracking daily statistics for each medical rehab staff, resident as well as locums working in the Inuit communities. Accuracy of the data is crucial to the program’s annual report that is a requirement to the funding agreements, and is used for financially forecasting funding requirements of the program.
- Prepares (formats, assembles data, pulls together and types) Quarterly, Annual and other reports on the Unit’s Inuit Health Program and its activities from material provided by various staff, including trip reports from physicians and consultants, narrative reports from the Director and others and statistics from other sources including the Patient Care section and statistical reports on physician services provided. This involves considerable confidential communication with health facilities, Program personnel and others.
- Coordinates meetings and workshops, books rooms (including the booking of Tele-Health) and theatres, transcribes and duplicates reports, minutes and related material, distributes material to various individuals and agencies with only general direction, arranges printing, supplies, photocopying and filing, etc. for meetings, includes contacting participants, booking rooms, booking educational support equipment, preparing hospitality form and getting required approvals.
- Arranges all Nunavut travel for rehabilitation therapists, staff and medical specialists. This includes booking of flights (using Concur travel system), hotel and work space in communities.
- Independently prepares and provides information and assistance to staff, students and general public about the procedures and programs offered by the unit. Provides resources and information to prospective, new and current employees regarding the Inuit Health Program policies and general interpretations which requires direct knowledge of the procedures and programs for the area. Deals with confidential matters concerning staff, clients, physicians as well as other staff/client/physician queries and complaints as necessary.
- Prepares and formats presentations to be used for education, reporting purposes, and conference presentations in collaboration with others in the Program.
- Performs reception duties (telephone, direct personal, mail, couriers, deliveries etc.). This requires having an excellent knowledge of the Program’s activities to ensure appropriate handling of all enquiries. The incumbent is required to receive, screen and refer visitors, prioritize and direct calls, take messages and provide required information as needed.
- Assists in preparing all necessary paperwork for medical licenses required for Government of Nunavut following policies/procedures required by Nunavut.
- Maintains the general office files of the Inuit Health Program and maintains records and material related to policies, procedures and forms, etc. as followed and directed by the Unit.
- Prepares orientation material/manuals, etc. for new staff and students hired to work in Nunavut. Schedules 3-day orientation visits to various vendors, hospitals, etc. in Winnipeg prior to travel north.
- Provides assistance to Neil John McLean Library staff to ship publications, books, etc. to various communities in the Kivalliq Region.
- Performs medical transcription of correspondence and patient notes, summaries and referrals from physician dictation for various Program personnel as required. Organizes and types material; this requires knowledge of Medical Terminology.
- Maintains written procedures, indexes, logs and records for activities within the area of responsibility. Includes maintaining appropriate file systems and records with guides and indexes, including computer records, back-up files, etc.
- Processes daily mail, which includes picking up, opening, dating, stamping, recording, reviewing and sorting (identifying and immediately dealing with high priority items), distributing and forwarding to appropriate staff; and preparation of outgoing mail.
- Provides back-up secretarial and office assistant support as required to cover for other staff of the Program during breaks and absences. Orders and maintains office supplies and equipment for Inuit Health Office in Winnipeg as well as the Rehab Office in Rankin Inlet.
- Performs other related duties as necessary or as assigned.
