Job Purpose:

Reporting to the Associate Registrar, Admissions, the Senior Admissions Advisor provides leadership, technical expertise, and day-to-day mentoring to the Admissions Advisors, while overseeing the evaluation, assessment, and processing of applications for all academic programs.

In addition to managing a portfolio of complex applications, this role serves as the primary escalation point for advanced admissions inquiries from prospective students, applicants, faculties, and external stakeholders. The Senior Advisor plays a critical role in ensuring data integrity, driving workflow efficiencies within Enrolment Services, and fostering a culture of exceptional, student-centered service.

Duties & Responsibilities:

Lead the onboarding, and training of Admissions Advisors, ensuring institutional knowledge transfer and consistency in admissions processes.
Act as the primary day-to-day resource for the admissions team, providing guidance on complex policy interpretations, non-standard applications, and credential evaluations.
Establish and conduct quality assurance audits on processed applications, GPA calculations, and transfer credit assessments to maintain institutional accuracy and fairness.
Evaluate and process complex, high-profile, or escalated applications for admission to undergraduate, graduate, and highly competitive programs.
Serve as the institutional expert on international credential evaluation, interpreting sophisticated international grading systems and academic structures using recognized tools to determine Canadian equivalencies.
Oversee document verification protocols, acting as the final line of defense against fraudulent documentation to safeguard institutional integrity.
Lead the testing and implementation of Student Information System (SIS) upgrades, automation tools, and workflow improvements to eliminate bottlenecks in the applicant journey.
Proactively identify operational inefficiencies within Enrolment Services and propose data-driven solutions to streamline the admissions pipeline.
Manage critical data-matching and compliance portfolios, ensuring accurate reporting for the Alberta Student Number (ASN) and strict adherence to Designated Learning Institution (DLI) and study permit regulations.
Liaise strategically with Academic Deans, Department Chairs, and Faculty Committees regarding competitive or limited-enrolment program quotas, criteria, and applicant profiles.
Handle escalated or highly sensitive applicant inquiries, providing empathetic, clear, and professional guidance on alternative academic pathways and institutional policies.
Compile, analyze, and present institutional admissions statistics and conversion reports for internal stakeholders to inform strategic enrolment management (SEM) decisions.
Represent Enrolment Services at high-level recruitment events, information sessions, and internal university committees as required.

Knowledge, Skills, and Abilities:

Demonstrated capability to effectively onboard, train, and continuously coach Admissions Advisors.
Proven ability to foster a supportive learning environment, develop training documentation and procedures, and provide constructive feedback to ensure process consistency.
Advanced written and verbal communication skills, with a proven ability to articulate complex institutional policies clearly, maintain meticulous records, and deliver highly professional, empathetic, and definitive admissions outcomes to diverse audiences.
Strong interpersonal skills with a demonstrated ability to foster collaborative team dynamics, maintain strict confidentiality, and defuse complex or high-stress conflict situations with a high degree of tact and diplomacy.
Superior organizational and time management skills, with ability to pivot and dynamically reallocate personal and team resources to meet changing institutional timelines and shifting priorities.
Proven ability to exercise independent, sound judgement when interpreting institutional guidelines, managing complex exceptions, and rendering admissions decisions in a fast-paced environment subject to frequent interruptions.
Deep commitment to a student-focused philosophy, with the ability to model and champion exceptional customer service standards across the entire Student Enrolment Services team.
Self-motivated and highly resourceful, with a track record of working independently under minimal supervision to identify operational bottlenecks and proactively implement solutions.
High-level proficiency in Microsoft Office Suite and experience with Google Workspace, combined with extensive experience utilizing CUE’s Student Information System (SIS) and a demonstrated ability to master, test, and optimize new technical workflows and software applications.

Qualifications:

Bachelor’s degree is required.
Minimum of 1-3 years of experience in the Admissions Advisor role is required.
Ability to successfully pass a security clearance is required.

Working Conditions:

Office setting; desk and prolonged screen time.
Able to lift 20lbs; occasional lifting of office supplies, files, or boxes.
May require walking between campus buildings.
