Administrative Assistant

Position Overview:

As an Administrative Assistant at Extra Ed, you will play a vital role in the functioning of our organization. You will be responsible for a wide range of administrative tasks that contribute to the efficient operation of our office and support the various programs we offer.

Key Responsibilities:

Customer Service:

The main point of contact for parents, providing exceptional customer service, resolving issues, and communicating program updates.
Collaborate with internal teams to address complex or recurring issues, ensuring a smooth resolution process.
Continuously improve the customer service processes, contributing to a positive work environment.
Liaise with clients (schools, daycare, camps, etc) through the central mailbox and delegate communications as needed.

Administration:

Assist in coordinating program registrations, scheduling and logistics.
Maintain accurate records of program participants, invoices and payments, apply for permits and manage insurance documentation.
Support the recruitment and onboarding process of new team members and instructors.
Ensure accurate data entry, regularly update databases, maintain data integrity, efficiently organize data, collaborate with others to resolve discrepancies, adhere to guidelines, and maintain strict confidentiality.
Provide general administrative support to the team, as needed, including assisting with sales and client outreach.

Requirements:

Previous experience in office administration or a related field is preferred.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Proficient in using office software, including word processing, spreadsheet, and email tools.
Strong communication skills, both written and verbal.
Ability to work independently and collaboratively in a team environment.
Passion for education, empowerment, and making a positive impact on the lives of young minds.
