Job Summary
Tory’s Landing is seeking a highly organized, independent, and hands-on Property & Fractional Ownership Manager to oversee the operations and administration of 18 fractional ownership cottages located at Bayview Wildwood Resort.
This position combines property management, owner relations, executive administration, and operational oversight. The successful candidate will act as the primary liaison between cottage owners, resort leadership, contractors, and operational departments while ensuring the cottages and shared spaces are maintained to the highest standard.
The role requires a strong administrative professional who is comfortable working independently onsite, coordinating meetings and projects, obtaining and managing contractor quotes, supporting board governance processes using Robert’s Rules of Order, and assisting with operational or maintenance support when required.
While this position is not currently hybrid, there may be opportunities for hybrid work.
Key Responsibilities
Property Operations & Oversight
- Oversee the daily operations of 18 fractional ownership cottages, including maintenance, housekeeping coordination, landscaping, and preventative upkeep.
- Conduct regular inspections of cottages and shared spaces to ensure standards are maintained and operational issues are proactively addressed.
- Coordinate with contractors, suppliers, and service providers to obtain quotes, schedule work, and oversee repair and maintenance projects.
- Assist with general maintenance duties when required, including minor carpentry, painting, landscaping, water system maintenance, and light plumbing.
- Provide support in the absence of the Maintenance Manager and assist with operational coordination as needed.
- Support rooms division and housekeeping coordination to ensure seamless owner and guest experiences.
- Identify opportunities to improve and enhance current operational processes and ownership services.
Board Administration & Governance
- Coordinate and administer owner and board meetings.
- Prepare meeting agendas, supporting documents, reports, meeting minutes, and follow-up action items.
- Maintain organized operational, and financial records
- Assist with budgets, invoice tracking, project administration, contracts, and operational reporting.
- Ensure compliance with company policies, operational standards, and applicable Ontario regulations.
Owner & Guest Relations
- Serve as the primary point of contact for cottage owners and guests.
- Communicate property updates, maintenance schedules, operational notices, and policy changes to ownership groups.
- Manage owner and guest inquiries, concerns, and feedback professionally and efficiently.
- Ensure smooth arrivals, departures, and overall ownership experiences.
- Attend and facilitate owner meetings while fostering positive and professional relationships.
Team & Workplace Responsibilities

- Maintain positive working relationships with team members, contractors, suppliers, and guests.

QualificationsRequired Qualifications
- Secondary school diploma or vocational equivalent.
- Minimum 2+ years of experience in property management, hospitality operations, resort administration, or a related field.
- Strong administrative and organizational skills with experience coordinating meetings, documentation, and operational projects.
- Excellent communication, interpersonal, and problem-solving skills.
- Proven ability to work independently and manage multiple priorities simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Reliable transportation.
- Flexibility to work weekends, holidays, and on-call as operationally required.
- Comfortable working in a hands-on environment that combines administration with operational oversight.
Preferred Qualifications
- Experience in a resort, hotel, condominium, or fractional ownership environment.
- Rooms division or hospitality operations experience.
- Knowledge of property management software and systems.
- Experience supporting boards or committees using Robert’s Rules of Order.
- Small water systems certification
- Basic maintenance knowledge and experience coordinating contractors and facility operations.
Compensation & Benefits
Tory’s Landing operates in partnership with Bayview Wildwood Resort, where team members are represented by Unifor Local 1411, with wage rates and employment conditions contained in a collective agreement valid through January 31, 2028.
Training in all vocational aspects of the role is provided.
