Full job description

Job Overview
We are seeking a detail-oriented and customer-focused Accounts Receivable Administrator to join our Real Estate Management team. The successful candidate will be responsible for managing tenant and client receivables, ensuring timely collection of payments, maintaining accurate financial records, and supporting the accounting and property management teams.

This role requires strong communication skills, excellent organizational abilities, and experience working in a fast-paced real estate or property management environment.

Responsibilities

Prepare and issue tenant rent statements, invoices, and miscellaneous billings.
Contact tenants regarding overdue balances and payment arrangements.
Prepare weekly and monthly accounts receivable reports.
Respond promptly to tenant inquiries regarding account balances, payments, and billing issues.
Reconcile tenant accounts and supporting schedules.
Assist with month-end and year-end accounting procedures.
Issue reminders, notices, and demand letters in accordance with company policies and lease agreements.
Monitor accounts receivable balances and ensure timely collection of outstanding amounts.
Process and apply tenant payments, including EFTs, cheques, wires, and online payments.
Reconcile tenant ledgers and investigate discrepancies.
Maintain accurate records of tenant deposits, prepayments, and adjustments.
Monitor aging reports and follow up on overdue accounts.
Work closely with Property Managers to resolve collection issues and tenant disputes.
Assist with legal collections, arrears reporting, and coordination with legal counsel when required.

Skillset

Strong writing and communication skills.
Highly organized, diligent and detail oriented.
Ability to prepare and manage documentation within tight timelines.
Proficient in Microsoft Office applications (Excel, Word, Outlook, etc.);

Education and Experience

Diploma or Certificate in Accounting, Finance, Business Administration, or related field would be an asset.
Minimum 3 years of accounts receivable and collections experience.
Experience in commercial, or mixed-use real estate/property management is preferred.
Experience with property management and accounting software is considered an asset.
