Project Manager Assistant (PMA)
We are seeking an experienced Project Manager Assistant (PMA) with a proven track record in the disaster restoration industry. In this role, you will work closely with our Project Managers to oversee the detailed execution of various projects, ensuring operational efficiency and exceptional results. As a key player in our team, your contributions will be critical to maintaining smooth operations and meeting organizational expectations.
As a Project Manager Assistant, you will:
- Intake and set up new project files in the Job Management System (JMS) and associated platforms.
- Run daily reports and assign files to the respective Project Managers.
- Create detailed project estimates using Xactimate or Woodhouse estimating tools.
- Maintain accurate and up-to-date project files and customer profiles.
- Assist in obtaining and processing work authorizations for projects.
- Upload, update and manage project data, including estimates, documents, revenue, and other relevant information across all project types.
- Support with bids, tenders, and time-and-materials (T&M) documentation.
- Organize and oversee systems such as Xactanalysis, Docusketch and Clean Claims.
- Handle invoicing, accounts receivable, and stakeholder reporting.
- Coordinate and schedule appointments for the Project Manager.
- Respond to client and customer calls, accurately document information, and follow up on overdue invoices as needed.
To be successful in this role, you will bring:
- Industry Expertise: 5+ years of experience as a Project Manager Assistant or in a related role within the restoration industry.
- Accounts Receivable & Invoicing Experience: A strong background with 3+ years in invoicing, accounts receivable, and stakeholder reporting.
- Technical Proficiency: Advanced skills in Microsoft Office 365 and familiarity with restoration software or a proven ability to learn new systems quickly.
- Adaptability & Initiative: Highly self-directed, flexible, and capable of working both independently and collaboratively in a fast-paced, dynamic environment.
