Job Scope:
Reporting to the Associate Registrar, Records, Registration, and Reporting, the Senior Registration Advisor provides senior-level expertise, team mentorship, and oversight of academic records management to ensure a seamless student journey from enrolment through to graduation.
This role balances advanced technical data integrity, including managing complex Student Information System (SIS) configurations, the Academic Calendar, and provincial compliance reporting, with high-level, solutions-oriented student support. The Senior Registration Advisor acts as the primary escalation point for complex registration and degree audit issues, collaborates closely with academic faculties, and directly mentors Registration Advisors to maintain exceptional service standards and operational continuity within the Office of the Registrar.
Duties and Responsibilities:

Lead the onboarding, training, and ongoing professional development of Registration Advisors, ensuring consistency in policy interpretation and record-keeping practices.

Serve as the primary day-to-day resource and escalation point for the Office of the Registrar team, guiding them through complex student cases, system errors, and non-standard registration requests.

Establish quality assurance protocols for student record updates, grade changes, and program modifications processed by the team to ensure absolute data integrity.

Coordinate team workflows during peak registration, grading, and graduation periods to ensure institutional timelines and service standards are met.

Take operational ownership of configuring and auditing degree audit rules and program planners within the Student Information System (SIS) to ensure automated systems flawlessly reflect current academic policies.

Lead the collection, verification, and auditing of data for mandatory provincial and federal reporting, including the Learner & Enrolment Reporting System (LERS) submissions to Alberta Advanced Education.

Oversee database enhancement projects in collaboration with IT Services, leading the testing, troubleshooting, and implementation of new SIS modules or registration workflows.

Manage the technical implementation of new courses, curriculum structures, and academic updates in the SIS following General Faculty Council (GFC) approvals.

Provide senior-level academic advising to students facing highly complex program planning, multi-faculty degrees, athletic eligibility constraints, or severe academic standing issues.

Counsel students navigating the formal academic appeal process, vetting complex submissions for policy compliance, and preparing case files for the appropriate approval authorities.

Liaise strategically with Academic Deans, Department Chairs, and Faculty to resolve complex registration bottlenecks, course capacity issues, and prerequisite waivers.

Represent the Office of the Registrar as a subject matter expert at key institutional events (e.g., Open Houses, Registration Rallies), delivering expert guidance to prospective and continuing students.

Co-lead the annual publication and continuous maintenance of the Academic Calendar, ensuring all institutional policies, academic schedules, and course descriptions are meticulously updated.

Oversee the end-to-end graduation audit workflow, conducting final, high-level degree audits for graduating cohorts and rendering definitive decisions on ambiguous graduation applications.

Play a leadership role in the execution of Convocation ceremonies, coordinating critical back-end deliverables.

Partner with the Assistant Registrar, Transfer Credit to oversee the integrity of the transfer credit database, international/domestic grade conversions, and Visiting Student Requests.

Self-motivated and highly resourceful, with a track record of working independently under minimal supervision to identify operational bottlenecks and proactively implement solutions.

High-level proficiency in Microsoft Office Suite and experience with Google Workspace, combined with extensive experience utilizing CUE’s Student Information System (SIS) and a demonstrated ability to master, test, and optimize new technical workflows and software applications.
Qualifications:

Bachelor’s degree is required.

Minimum of 1-3 years of experience in the Registration Advisor role is required.

Ability to successfully pass a security clearance is required.
Working Conditions:
