Position Summary
The Donor Relations Coordinator is responsible for building and strengthening relationships with donors, sponsors, grant funders, and prospective supporters. This position focuses on cultivating and stewarding mid-level donors, developing the Foundation's donor pipeline, coordinating grant opportunities, and managing small corporate sponsorships.
Working closely with the Chief Executive Officer and fundraising team, the Donor Relations Coordinator helps identify future major gift prospects, deepen donor engagement, and create meaningful pathways for donors to increase their involvement with the Foundation.

Key Responsibilities
Mid-Level Giving
- Manage a portfolio of mid-level donors, typically contributing between $1,000 and $20,000 annually.
- Develop and implement cultivation, solicitation, and stewardship strategies to retain and upgrade donors.
- Conduct donor qualification conversations to better understand donor interests, motivations, and philanthropic goals.
- Build relationships through phone calls, meetings, events, tours, and personalized communications.
- Identify opportunities to move donors into major gift portfolios when appropriate.
- Prepare stewardship reports, impact updates, and donor communications.
- Track all donor interactions and activities within the donor database.
Pipeline Development
- Support the Foundation's donor pipeline by identifying, researching, qualifying, and cultivating prospective donors.
- Utilize donor analytics, wealth screening, giving history, event participation, referrals, and community research to identify future major gift prospects.
- Conduct discovery meetings with prospective donors to assess capacity, affinity, and readiness for engagement.
- Develop and maintain a structured moves-management process.
- Work collaboratively with fundraising staff to ensure qualified prospects are transitioned appropriately.
- Monitor and report on pipeline activity and donor movement.
Event Sponsorships
- Manage small to mid-sized sponsorship opportunities and partnerships.
- Identify and cultivate new corporate sponsors for Foundation events, programs, and initiatives.
Grants
- Research and identify grant opportunities from foundations, corporations, community organizations, and government sources.
- Maintain an annual grants calendar and tracking system.
- Coordinate the preparation, submission, and reporting requirements of grant applications.
- Gather supporting documentation, budgets, outcomes, and organizational information required for submissions.
- Collaborate with internal and external stakeholders to collect data and impact stories.
- Monitor grant deadlines, reporting obligations, and stewardship requirements.
- Develop relationships with grant funders and funding organizations.
Other Duties
- Maintain donor confidentiality and protect Foundation operations by safeguarding sensitive information.
- Serve as an ambassador for the Foundation within the community.
- Attend fundraising, stewardship, and Foundation events as required.
- Participate in ongoing professional development opportunities.
- Perform other related duties as assigned.
Qualifications
- Minimum 3 years of experience in fundraising, donor relations, sales, business development, account management, or relationship management.
- Experience working with donors, sponsors, customers, or community partners.
- Strong written and verbal communication skills.
- Demonstrated ability to build relationships and influence outcomes.
- Experience coordinating multiple projects and deadlines simultaneously.
- Familiarity with donor databases or CRM systems preferred.
- Grant writing experience considered an asset.
- Sponsorship sales or business development experience considered an asset.
- Valid driver's license and access to a vehicle.
Work Environment
The Donor Relations Coordinator will work in a hybrid office environment with regular local travel for donor meetings, sponsorship visits, community events, and Foundation activities.
The Foundation office is a professional working environment, with appropriate professional attire and conduct expected at all times.
Occasional evening and weekend work will be required to support donor events, sponsorship activities, campaigns, and Foundation initiatives.
Pay: $60,000.00-$70,000.00 per year
