Job Overview
Reporting to the Director, Development, as the Development Assistant you will provide administrative and coordination support to the Development team. This role is primarily administrative, with opportunities to learn about land development, construction coordination, contract administration, and project tracking.
The ideal candidate is organized, detail-oriented, proactive, and eager to support a busy project-based team. Strong communication skills are also a key attribute for this role.
Your day-to-day responsibilities will include:

Scheduling project meetings, coordinating boardrooms, preparing agendas, taking meeting minutes, and tracking follow-up items.

Reviewing, circulating, tracking, and managing legal registration packages to support timely and accurate subdivision registrations.

Managing third-party back charges for both contractors and builders.

Maintaining accurate construction progress records in LotWorks to support project tracking and reporting.

Supporting contract administration, including organizing, tracking, and maintaining project documentation, agreements, correspondence, and filing systems.

Assisting with invoice coding, document preparation, spreadsheets, reports, correspondence, and other administrative tasks.

Coordinating communication with internal teams, consultants, contractors, municipalities, utility providers, and other stakeholders as required.

Maintaining project trackers, logs, and administrative tools to support deadlines and reporting requirements.

Identifying opportunities to improve administrative processes and proactively suggest efficiencies.

Collecting, reviewing, and reconciling employee expense reports, ensuring expenses are coded appropriately before submission to accounting.

Maintaining updated and accurate databases and spreadsheets. Distributing documents, materials or other items.

Promoting a safe work environment and ensuring compliance with Qualico’s Safety Program. Promptly reporting safety concerns or violations to the supervisor.

Maintaining positive relationships with contractors, consultants, municipalities, builders and other stakeholders.

Staying current on industry standards, regional Council decisions and land development practices to enhance work productivity and quality.

Assisting the Development team and other departments with other project duties as assigned.

Essential Requirements

High School Diploma, or equivalent.

Minimum 2 year of administrative or land development experience

Valid driver’s licence and access to a reliable vehicle.

Satisfactory verification of criminal record check.

Comfortable using office equipment and Microsoft Office programs (Outlook, Word, Excel, Teams, SharePoint and PowerPoint).

Working Conditions
You primarily work in an office setting during regular business hours. Travel to sites is required on a frequent basis. Overtime may be occasionally required.
