Assistant Project Manager (Residential Construction)

With quality, performance, and culture at the forefront of what we do, we are looking for an experienced Construction Assistant Project Manager to support a wide range of construction projects from start to finish. The applicant will organize and coordinate construction procedures and ensure they are completed in a timely and efficient manner.
Applicants must be familiar and have in-depth experience with Concrete/Steel High Rise Residential and Commercial construction projects and well-versed in all associated construction methodologies, procedures, and able to coordinate and support a team of professionals of different disciplines to achieve the best results. The ideal candidate will have an analytical mind and great organizational skills. The goal will be to ensure all projects are delivered on time according to requirements and without exceeding budget.
This project is a 23 story Structural Steel Highrise project located in Victoria, B.C. and being the first of its kind in Western Canada, it presents an exciting opportunity for the successful candidate to work on a unique, innovative and groundbreaking project to elevate their career to the next stage. Applicants must have local experience within the Greater Victoria Area preferably, or on the Lower Mainland/Fraser Valley and have in-depth experience with Steel Highrise and/or Concrete Highrise Construction Projects as a Project Coordinator/Assistant Project Manager. A minimum of 2-4 years of experience in a project management position is required for this role.
Reporting directly to the Project Manager and Superintendent, the Assistant Project Manager will play a vital role in our mission to deliver landmark projects, and this supervisory role may involve evening and weekend work to ensure timely project completion. The Assistant Project Manager may be working on one or multiple projects at a time.
Key Responsibilities:
Site Coordination, Contract Management, Documentation and Reporting:
- Involved and will assist in project planning including establishing project objectives, policies, procedures, performance standards, risk analysis, quality control, project communication and flow of information for Concrete, Wood frame, and Structural Steel Residential and Commercial construction projects.
- Effectively communicate with external and internal partners and team members to design, value engineer, and assist in negotiating construction contracts to meet timely delivery of the project.
- Review all drawings and specifications as well the Building Envelope and step code requirements for completion of the IFT and IFC drawings.
- Document control of Site Instructions, RFI’s, Submittal’s, and updated consultant drawings. This includes but not limited to updating folders electronically, updating hard copy of drawings on site with markups, and printing out changes made to the drawings for Project Manager and Superintendents review on site.
- Coordinate the procurement of project supplies, equipment, furnishings and long lead time items.
- Assist in coordinating the tendering, analysis, negotiation, scope definition and contract design for all project procurement as well as preparing master documents for bidding, such as invitations to bid and instructions to bidders under the supervision of the Project Manager.
- Coordinate and facilitate project meetings under the direction of the Project Manager, including consultant meetings, trade coordination meetings, owner meetings, and site coordination meetings. Prepare and distribute meeting agendas and minutes, track action items, and follow up to ensure timely completion of outstanding tasks.
- Coordinate the planning and estimating process. Assist Project Manager in estimating the project costs and developing the project budgets.
- Coordinate the initial site planning (Access, Layout of Temporary Buildings/Services, crane access, Etc.) in conjunction with the site team, trades and the superintendent.
- Assist in managing project resources, external sub-trades, and suppliers to accomplish business objectives.
- Assist the project manger in managing financial aspects of contracts to protect the company’s interests and maintain good relationships with clients, consultants, trades and suppliers.
- Assist in implementation of agreements with government authorities, municipalities and neighbors including assisting in the development of Civil Servicing Agreements, Reciprocal Easement Agreements, Statuary Right of Way Agreements and Permits.
- Assist the project manager and Superintendent, where applicable, in the day-to-day duties of a project’s administration.
- Assist in preparation of and coordination of monthly certificates of payment and Builder’s Lien Holdback as well as reviewing trade progress draws and supplier invoices.
- Assist in the preparation, and coordination of trade contracts, purchase orders, change orders and back charges in under the supervision of the Project Manager.
- Research and recommend solutions to design document problems, including conflicts, interferences and errors/omissions
- Act as Liaison with subcontractors in expediting drawings and related information
- Maintain accurate up to date logs (RFI, Vendor/Subcontractor, Purchase, Owner etc.) track responses and advise the Project Manager and Superintendent of the status of RFIs.
- Coordinate the complete shop drawing and submittal process, including receiving submissions from subcontractors, conducting preliminary reviews for completeness, submitting to consultants for review, tracking review timelines, reviewing consultant comments, coordinating revisions with subcontractors, and ensuring final approved shop drawings are distributed to all relevant project stakeholders.
- Coordinate structural steel shop drawing reviews, fabrication schedules, delivery sequencing, and erection activities with the structural steel subcontractor, consultants, Site Superintendent, and Project Manager to ensure the project schedule is maintained.
- Monitor field work, including contract work, to ensure compliance with company standards, procedures, specifications and codes
- Participate in the continuous updating and accurate generation of as-built documents.
- Assist with the research and preparation of field change request to resolve design issues. Conduct quality control activities in accordance with instructions, inspection programs, using specified control measuring and testing equipment.
- Understand and perform document control functions in accordance with on-site policy and procedure, including tracking and creating RFI’s transmitting and tracking of submittals, compose agreements and maintain project expediting list
- Attend project coordination and owner/contractor/architect/engineer meetings as requested or required.
- Assist the Project Manager with constructability reviews and identify coordination issues prior to construction.
- Coordinating the unit punch-out process, deficiency completion process and the complete handover of the project to the owners in conjunction with the sales and the deficiency teams.
- Facilitate individual purchaser/tenant improvement requests
- Coordinate all structural steel activities between the Structural Engineer, Steel Fabricator, Steel Detailer, Steel Erector, Concrete Contractor, Mechanical/Electrical Trades and Surveyors to ensure fabrication and erection activities remain on schedule.
- Coordinate procurement and delivery of long-lead structural materials including structural steel, reinforcing steel, miscellaneous metals, elevators, generators, switchgear, curtain wall components, window wall components, and mechanical equipment.
- Participate in BIM coordination meetings and assist in resolving design conflicts between structural, architectural, mechanical and electrical disciplines.
- Identify potential project risks related to design, procurement, schedule and construction activities and communicate mitigation strategies to the Project Manager.
- Coordinate required inspections with the Site Superintendent, consultants, testing agencies, and municipal authorities. Ensure all inspection reports, testing documentation, and consultant signoffs are submitted to the appropriate consultants and authorities, while maintaining organized project records for future reference and project closeout.
- Coordinate road closures, lane closures, sidewalk closures, crane permits, and other municipal permits in conjunction with the Site Superintendent to support project operations while maintaining compliance with municipal requirements.
- Assist the Site Superintendent with site logistics planning, including delivery scheduling, material laydown areas, crane utilization, site access, traffic management, and coordination of subcontractor activities to maximize project efficiency.
Quality Management/ Suite Finishing/ Unit Turnover
- Review on-site work and monitor the performance of sub-trades to confirm that project is being built as per drawings, specifications, and building codes and ensure that all finishes meet Birudo’s and industry’s standards.
- Develop and implement processes and checklists to ensure quality issues are addressed proactively.
- Conduct quality control inspections and complete checklists to prepare for building completion and work with the Project Manager to have trades rectify items identified.
- Coordinate the punch-out, suite delivery and deficiency completion process.
- Represent the developer in client facing activities related to pre-occupancy and the New Home Warranty before and after homeowners take possession of their new homes in a professional, thoughtful, and courteous manner.
- Understand and communicate details on building layouts, general building details, policies regarding the 2-5-10 New Home Warranty, and construction industry standards.
Occupancy Coordination
- Coordinate the collection, review, and organization of all occupancy documentation, including Schedule S-B and Schedule S-C Letters of Assurance from subcontractors, Schedule C-B Letters of Assurance from Registered Professionals, testing reports, commissioning documentation, inspection records, and all other documentation required to support the occupancy application.
- Prepare and maintain the Occupancy Binder in conjunction with the Site Superintendent, ensuring all required documentation is complete, accurate, and submitted to the Authority Having Jurisdiction (AHJ) to facilitate the issuance of the Occupancy Permit.
- Coordinate occupancy inspections with consultants, municipal inspectors, special inspection agencies, commissioning agents, and the Site Superintendent, ensuring all deficiencies are tracked, assigned, and closed out in a timely manner.
- Coordinate and track all commissioning activities, including CAN/ULC-S1001 Integrated Systems Testing, fire alarm verification, sprinkler acceptance testing, emergency power testing, smoke control testing, elevator inspections, life safety systems testing, and other occupancy-related testing required for final occupancy.
- Review occupancy and life safety requirements with the project team and coordinate pre-occupancy walkthroughs ("dry runs") with consultants and the Site Superintendent to verify the building complies with applicable Building Code requirements and is ready for municipal occupancy inspections.
- Maintain and track an occupancy deficiency log, coordinating with subcontractors, consultants, and the Site Superintendent to ensure deficiencies identified during inspections are promptly rectified and documented.
- Track outstanding permit conditions, consultant signoffs, commissioning documentation, Letters of Assurance, inspection reports, and required approvals to ensure all occupancy milestones are achieved in accordance with the project schedule.
- Assist the Project Manager and Site Superintendent with phased occupancy planning, turnover sequencing, and coordination of occupancy milestones to support successful occupancy and project completion.
- Coordinate occupancy readiness meetings with consultants, subcontractors, commissioning agents, and the Site Superintendent to monitor the status of occupancy requirements, identify outstanding items, and drive completion of all life safety and regulatory requirements prior to Occupancy Permit issuance.
Assistant Project Manager Qualifications
- Eligible for (or, preferably, has attained) a P. Eng., GSC, or PQS designation or similar is desirable.
- Minimum 2-4 years “hands-on” experience as a Project Coordinator, Assistant Project Manager or Project Administrator supplemented by other aspects of construction management (inc. cost estimating).
- Specific experience with concrete, wood frame, and structural steel structures including estimating, forming, supervision and/or management is required.
- Ability to read blueprints
- Strong verbal and written communication skills
- Strong time management, prioritization and organization skills
- Understanding of construction procedures and material and project management principles.
- Strong negotiating skills.
- Understanding of dispute resolution.
- Estimating and time management skills and ability to multi-task effectively and efficiently.
- Demonstrated competence within the areas of safety, personnel management, project execution, cost, and quality control.
- Proficiency with construction management and project coordination software including Fieldwire, Bluebeam Revu, Microsoft Project, Microsoft Excel, and Microsoft Office Suite is preferred.
