VOLUNTEERS COORDINATOR
Hispanic Arts Society – Producers of Expo Latino Festival
The Hispanic Arts Society (HAS), a Calgary-based not-for-profit organization founded in 1987, promotes Hispanic arts and culture through year-round programming in music, dance, visual arts, and performing arts. As part of its 2026 calendar—including Fiesta on the Street, Latin Dance Battle, Visual Arts Projects, Latin Cultural Experiences, concerts, and the annual Expo Latino Festival—HAS is hiring a student for the contract position of Volunteer Coordinator.
Position Overview
Reporting to the Executive Director, the Volunteer Coordinator will play a key leadership role in overseeing the recruitment, training, coordination, and supervision of volunteers involved in all HAS activities. This position supports multiple events and community initiatives, ensuring that volunteers are prepared, engaged, and supported throughout their roles.
The Volunteer Coordinator must be highly organized, people-focused, and passionate about working with multicultural communities. This role strengthens the operational capacity of the organization by ensuring the volunteer program runs efficiently, effectively, and in alignment with HAS values.
Responsibilities
- Lead the recruitment of volunteers for all events, including Fiesta on the Street, Latin Dance Battle, Visual Arts Projects, cultural workshops, concerts, and the Expo Latino Festival.
- Conduct volunteer interviews, orientations, training sessions, and onboarding.
- Develop and maintain the volunteer schedule, ensuring proper role assignments and coverage for all event areas.
- Maintain accurate records of volunteers in the HAS volunteer database.
- Implement volunteer communication strategies, including briefings, updates, and event-day support.
- Supervise volunteers on-site during events, ensuring safety protocols, clear instructions, and operational efficiency.
- Coordinate with other team members (Production Coordinator, Communications & Marketing Coordinator, Special Events Coordinator) to determine volunteer needs for each program.
- Address volunteer questions, challenges, or conflicts with professionalism and diplomacy.
- Support the creation of volunteer recognition initiatives and appreciation activities.
- Assist with post-event evaluations, reporting, and improvements to the volunteer program.
- Represent HAS at meetings and community-related volunteer initiatives.
Minimum Requirements
- Ideal for students in Human Resources, Social Work, Nonprofit Management, Communications, Event Management, or related fields.
- Excellent interpersonal skills and the ability to work with diverse age groups, cultural backgrounds, and experience levels.
- Strong organizational and time-management abilities.
- Clear communication skills, both written and verbal.
- Ability to multitask in fast-paced environments with changing priorities.
- Proficiency in Microsoft Office, Gmail, Google Suite; familiarity with volunteer management databases is an asset.
- Interest in cultural events and community engagement.
- Fluency in Spanish is an asset but not required.
- Ability to work evenings and weekends during event periods.
