Promenade Limited Partnerships is the owner and operator of Promenade Mall, a well‑established shopping centre located in the heart of Thornhill. We are committed to creating a welcoming community hub for tenants, customers, and partners through strong property management practices, exceptional tenant service, and continuous improvement of our retail environment.

About the Role

We are seeking a highly organized, service‑oriented Tenant Services & Administrative Coordinator to support the day‑to‑day operations of our Property Management team during a maternity leave coverage period. This role is ideal for someone who enjoys working in a fast‑paced, customer‑focused environment and takes pride in providing exceptional service to tenants, vendors, and visitors.

Key Responsibilities

Administrative Duties

Act as the primary receptionist for the Property Management office, including greeting visitors and coordinating office services such as couriers, calendar management, filing, equipment, and supplies.
Provide administrative support to the Property Management team, including responding to inquiries and organizing leasing files (both digital and hard copy).
Maintain organized records, including lease documents, tenant correspondence, property reports, and Tenant Manuals.
Support marketing efforts by managing and maintaining directory boards and the shopping centre website, ensuring promotions, events, and store directories are current.
Administer the Tenant and Contractor Insurance Certificate Program.

Financial Management

Process vendor invoices for payment and maintain the cheque tracking sheet.
Prepare and maintain accurate sales reports and monthly agendas for assigned properties.

Maintenance & Tenant Coordination

Coordinate and track maintenance requests, ensuring timely communication with tenants and vendors.
Assist with the coordination of tenant and community events in support of tenant engagement initiatives.

Qualifications & Attributes

Post‑secondary education or equivalent work experience.
Prior experience in property management and/or real estate is considered an asset.
Proficiency in Microsoft Office is preferred.
Strong organizational, multitasking, and time‑management skills with attention to detail.
Excellent written and verbal communication skills.
A service‑driven mindset with a commitment to consistently delivering a high standard of tenant support.
Adaptability and a positive attitude in a dynamic environment.
Team‑oriented approach with a strong sense of ownership and accountability.

Contract Details

Type: Full‑time, temporary contract
Duration: Approximately 6 months (maternity leave coverage)
Schedule: On‑site at Promenade Mall

Job Types: Full-time, Permanent

Pay: $45,000.00-$50,000.00 per year
