Position Overview:
The Project Coordinator plays a vital role in the successful delivery of restoration projects by coordinating day-to-day project activities, supporting field operations, and ensuring projects progress efficiently from initiation through completion under the direction of the Project Manager (PM). This role requires strong communication, organization, and problem-solving skills to support clients, subcontractors, and internal teams in a fast-paced restoration environment.
Key Responsibilities:
- Act as a primary liaison between clients, project managers, estimators, subcontractors, and internal teams throughout the lifecycle of restoration projects
- Assist in the planning, coordination, and execution of residential and commercial restoration projects
- Develop, monitor, and update project schedules to ensure timelines and project milestones are achieved
- Coordinate subcontractors, trades, suppliers, and site activities within approved project budgets
- Manage material procurement and ensure timely and accurate ordering, delivery, and allocation of materials
- Ensure job sites are maintained in a safe, clean, and organized manner in compliance with company policies and health and safety regulations
- Obtain required approvals and documentation for subcontracted work, project changes, and change orders
- Identify, document, track, and assist in resolving project deficiencies, issues, and outstanding items
- Conduct site inspections, project walk-throughs, and assist in securing client satisfaction and final project sign-off
- Monitor project progress and proactively communicate scheduling impacts, delays, or issues to the Project Manager
- Prepare and submit regular project status updates outlining progress, challenges, and proposed solutions
- Coordinate the protection, inventory, and handling of client contents and belongings during restoration activities
- Support emergency response operations and participate in evening, weekend, and on-call rotations as required
- Maintain accurate project documentation, including site notes, photos, schedules, permits, and correspondence
Required Knowledge and Experience:
- Minimum 3 years of experience in the restoration, construction, or property insurance industry
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams, etc.)
- Experience with restoration or construction management software considered an asset
- IICRC certifications such as WRT and FSRT considered an asset
- Working knowledge of residential and commercial construction practices, restoration procedures, and applicable building codes
- Strong organizational and time management skills with the ability to manage multiple projects and competing priorities simultaneously
- Excellent communication and customer service skills with the ability to build positive client and stakeholder relationships
- Ability to work independently while contributing effectively within a collaborative team environment
- Strong attention to detail with proven problem-solving and decision-making abilities
- Ability to work effectively in a fast-paced, deadline-driven environment
- A proactive and accountable approach with a commitment to delivering high-quality project outcomes
- Willingness to travel occasionally based on operational requirements
- Valid G driver’s license
