As the Team Lead, Project and Administration Support, you will provide leadership, coordination, and oversight for the administrative team supporting Utilities Delivery and the Director's Office. You will ensure efficient day-to-day operations, deliver high-quality administrative services across the business unit, and act as a key link between strategic priorities and operational execution. This role includes team leadership, executive support, workload coordination, process improvement, and collaboration with leaders across the organization. Primary duties include:

Lead and supervise the administrative team by coordinating coverage, balancing workloads, setting priorities, and supporting high performance across the business unit.
Provide coaching, mentoring, onboarding, and training to administrative staff, including regular check-ins, performance feedback, and support for development planning.
Oversee administrative operations and workflows to ensure timely, accurate, and compliant service delivery, while identifying and implementing process improvements to enhance efficiency.
Support the Director's Office through coordination of leadership meetings, briefing materials, correspondence, and sensitive information management.
Coordinate business unit events, space planning, travel, and other operational requirements, ensuring alignment with organizational standards and priorities.
Review and support standardized procedures, records management practices, and administrative documentation to promote consistency, quality, and compliance with corporate policies.
Build strong working relationships with managers, other business units, Councillors' offices, and key interest holders to coordinate requests, resolve issues, and support business objectives.
Lead continuous improvement, cross-training, and succession planning initiatives to strengthen team capability, improve service delivery, and support evolving organizational needs.

Qualifications

A completed 2-year diploma Business Administration, Office Management, or a related field, and at least 4 years of progressively responsible experience in senior administrative or executive support roles.
Equivalent combinations of education and experience may be considered.
Experience leading or coordinating the work of an administrative team, including workload distribution, coaching, onboarding, and performance support is essential.
Strong knowledge of office operations, records management, corporate governance, and administrative processes within a complex organizational environment.
Advanced computer skills in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint), along with experience using document management and business systems such as SharePoint, Content Server, or PeopleSoft.
Excellent communication, relationship-building, and organizational skills, with the ability to work independently, exercise sound judgment, and manage multiple priorities in a dynamic environment.
Demonstrated ability to maintain confidentiality, manage sensitive issues with discretion, and support senior leaders in a high-profile or fast-paced setting.
Success in this role requires leadership capability, critical thinking, problem-solving skills, adaptability, and a commitment to service excellence and continuous improvement.

This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.
