The Role
We’re looking for a reliable, proactive, and detail‑oriented Operations Administrator to support our day‑to‑day operations. You’ll help maintain smooth workflows across multiple teams, keep our documentation and systems up to date, and support both internal and customer‑facing processes.
You’ll also play a key role in maintaining our WIX website, supporting integrations (including WIX → QuickBooks syncing), and helping troubleshoot small technical issues as they arise.
This role is remote‑friendly, with occasional in‑person collaboration in Calgary.
What You'll Do
Administrative Support
- Manage shared inboxes and route inquiries to the right team members
- Maintain calendars, schedule internal meetings, and coordinate availability
- Prepare and update internal documents, forms, and templates
- Support data entry, filing, and maintaining organized digital records
- Update Asana boards, Google Sheets, and internal trackers
Website & Systems Support (WIX + Integrations)
- Perform basic WIX website updates (content edits, product updates, announcements)
- Monitor and troubleshoot WIX → QuickBooks syncing issues
- Support WIX automations, forms, and app integrations
- Coordinate with vendors or support teams when deeper troubleshooting is required
- Maintain documentation for website‑related processes and integrations
- Assist with implementing new WIX features or workflow improvements
Administrative Coverage
- Provide backup coverage for Administrative Support Specialists during absences or high‑volume periods
- Assist with answering calls, booking appointments, and handling customer inquiries
- Maintain working knowledge of booking procedures and customer service workflows
Onboarding & HR Support
- Assist with new hire onboarding tasks (accounts, equipment checklists, welcome materials)
- Prepare onboarding documentation and ensure all required forms are completed
- Maintain onboarding SOPs and checklists
- Coordinate with managers to ensure new hires have what they need on day one
Inventory & Supplies Coordination
- Track inventory levels across locations
- Assist with ordering supplies, equipment, and materials
- Maintain vendor lists and pricing sheets
- Coordinate with warehouse or field teams to confirm stock levels
- Update inventory spreadsheets and ensure accuracy
Training & Compliance Support
- Set up internal training modules, checklists, and tracking sheets
- Monitor progress of mitigators and staff through required certifications
- Maintain accurate records of training completion and expiry dates
- Coordinate with managers to ensure compliance deadlines are met
Process & Documentation Support
- Update SOPs when processes change
- Flag outdated or unclear procedures
- Maintain organized documentation libraries
- Support small process‑improvement tasks
General Operations Support
- Assist with weekly and monthly reporting
- Support cross‑departmental administrative needs
- Help ensure smooth communication between teams
- Perform other administrative tasks as required
