Full job description

ServiceMaster of Penticton seeking a highly organized, professional, and customer-focused individual to join our team as a Project Manager Assistant / Receptionist. This position will initially provide maternity leave coverage while serving as the first point of contact for clients, visitors, and incoming communications. As the company continues to grow, there is potential for the successful candidate to transition into a long-term Project Manager Assistant (PMA) position.

This is an excellent opportunity for someone who enjoys administration, client service, organization, and coordinating multiple projects in a fast-paced environment.

Key ResponsibilitiesReception & Administrative Duties

Welcome clients, visitors, and vendors in a professional and friendly manner.
Answer and direct incoming phone calls and emails.
Manage incoming and outgoing correspondence.
Maintain organized filing systems, both digital and physical.
Schedule appointments, meetings, and company events.
Support general office operations and administrative tasks.

Project Management Support

Assist Project Managers with project documentation and tracking.
Prepare and organize project files, reports, and correspondence.
Coordinate project schedules, meetings, and follow-up actions.
Monitor deadlines and help ensure project milestones are met.
Support communication between project teams, clients, suppliers, and subcontractors.
Assist with data entry, reporting, and project administration.

Qualifications

Previous experience in reception, administration, office coordination, or project support.
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Professional and customer-focused attitude.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Ability to prioritize tasks and manage multiple responsibilities.
Strong attention to detail and problem-solving skills.

Preferred Qualifications

Experience in project administration or project coordination.
Familiarity with construction, engineering, municipal, or service-based industries.
Experience with project management software is an asset.
Experience with Verisk products (including Xactimate and related platforms) is considered a strong asset.
Familiarity with Encircle and Dash software is an asset.
