Drake Excavating (2016) Ltd. is a civil and general contracting company, based out of the Lower Mainland of BC. We specialize in municipal infrastructure work, including waterworks, roadworks, and utilities projects.
Drake is an exciting, fast-paced work environment and we are currently seeking a Project Coordinator to join our team.
Key Responsibilities Include:
Project Coordination:
- Attend pre-construction meetings and liaise with the Project Manager and Contract Administrator in submitting all required contract documents and project related documentation throughout the project
- Prepare, submit and file all contract documents, including obtaining COC / Builder’s Risk Insurance, Bonding, contracts, and WCB Clearance Letters
- Prepare submit and file all submittals and RFI’s throughout the duration of the project
- Submit BC One Calls and renew as needed
- Submit or assist with NOP’s, permits, TMP’s and Notices to Residents
- Manage all business licenses, including renewals
- Prepare close-out documents for each project, including creating O&M Manuals, issuing Substantial and Total Completion Requests
- Prepare foreman binders, including printing full-size drawings on a large format printer
- Liaise with Dispatch in coordinating site facilities at project start-up, including portable toilets, fencing and container storage
- Liaise with Project Accountant in issuance of Purchase Orders
- Liaise with Project Accountant in booking accommodations for out-of-town projects
- Maintain all required project documentation, including truck slips, RFI’s, submittals, meeting minutes, etc., and ensure all are filed in the project folders as needed
Estimating Administration:
- Assist and coordinate all aspects of the tender submission process, including preparing and executing bid submission documents
- Add and update the tender board daily, advising estimating team on addendums and mandatory meeting dates
- Download tenders and all addendums as required
- Ensure all online, e-mail and drop-off tender submissions are executed on-time
- Update and maintain key personnel resumes and project reference packages to be included in tender submissions
- Liaise with estimating team to complete technical aspects of all tender submissions
- Request and manage bid bond requests, including obtaining insurance quotes for tender submissions
- Assist with the preparation of Request for Proposals and Pre-Qualifications, while maintaining efficient communication with estimating team to ensure submissions are technically complete prior to submission
Qualifications:
- Bachelor of Civil Engineering (Preferred)
- Experience with project coordination and project administrative tasks
- Strong organizational and time management skills
- Excellent written and verbal English communication skills
- Proficiency with Microsoft Office software, especially Excel
- Familiarity with tender submission processes and documentation
- Detail-oriented with a strong focus on accuracy and compliance
- Ability to multitask and manage various responsibilities efficiently
- Must love dogs
- Valid driver's license and reliable vehicle
