Full job description

Overview

We are seeking an organized and detail-oriented Administrative Assistant to join our busy insurance brokerage. The ideal candidate will provide essential administrative and client service support to brokers and management, ensuring the smooth daily operation of the office. This position requires excellent multi-tasking abilities, strong communication skills, and a customer focused attitude.

Your Responsibilities Include:

Provide administrative support to brokers, and management.
Prepare, process, and track insurance documents including applications, renewals, endorsements, and policy changes.
Maintain accurate and up-to-date client and policy files in brokerage management systems.
Handle incoming calls, emails, and walk-in inquiries; direct clients to appropriate team members.
Assist with billing, payments, and reconciliation of client accounts as required.
Coordinate policy renewals and follow up with clients for required information or signatures.
Support claims intake and assist clients with claim submissions and updates.
Maintain compliance with brokerage procedures, privacy regulations, and insurer guidelines.

Your Skills and Qualifications:

Minimum 1–3 years of administrative experience, preferably in an insurance or financial services environment.
Strong knowledge of general office procedures.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Exceptional organizational skills and attention to detail.
Strong communication and interpersonal skills with a professional phone manner.
Ability to prioritize tasks and work efficiently under pressure.
Team-oriented, proactive, and adaptable in a fast-paced environment.
General Insurance License required for the future. Courses will be provided.
