Full job description

Job Summary

The Events & Meetings Coordinator is a dynamic, client-facing role responsible for the sale and end-to-end coordination of all events hosted at the hotel, including weddings, social events, banquets, galas, meetings, and catering functions. Reporting to the General Manager, this position serves as the primary point of contact for clients from initial inquiry through to post-event follow-up, ensuring every function is accurately captured, clearly communicated internally, and executed to the highest standard. The Events & Meetings Coordinator plays a key role in driving event revenue across all market segments, building lasting client relationships, supporting guest satisfaction, and upholding the hotel's reputation as a premier venue for events, celebrations, and business functions.

Responsibilities

Drive event sales and business development by responding to inquiries, following up on leads, conducting property tours, and converting opportunities into confirmed weddings, meetings, banquets, galas, social events, and catering bookings.
Develop customized proposals and packages based on client needs, vision, budget, and event requirements, including menus, room rentals, accommodations, décor, and other services.
Manage the complete event planning process from booking through post-event follow-up, acting as the primary point of contact and ensuring all details are accurately captured and communicated.
Coordinate event operations across departments, working closely with Kitchen, Banquets, Front Office, Housekeeping, Maintenance, and other teams to ensure events are fully prepared and executed smoothly.
Prepare and manage event documentation, including contracts, Banquet Event Orders (BEOs), function summaries, timelines, layouts, client correspondence, and event records.
Oversee event setup and execution, including room configurations, décor, AV requirements, vendor coordination, and on-site staff direction to ensure events meet approved standards and client expectations.
Build strong client and industry relationships with planners, vendors, corporate clients, and other partners while providing exceptional service, resolving concerns, and generating repeat and referral business.
Support revenue growth and financial administration by negotiating within approved guidelines, identifying upselling opportunities, monitoring the sales pipeline, securing deposits, verifying billing, and contributing to revenue targets and forecasts.
Ensure compliance and service standards by following hotel policies, food safety and liquor regulations, fire and occupancy requirements, and brand standards, while supporting continuous improvement and other duties as assigned by management.

Education & Experience

Diploma or degree in Hospitality Management, Event Planning, Business Administration, or a related field (preferred).
Minimum 1–2 years of experience in event sales, catering coordination, event planning, hotel operations, or a related customer-facing role.
Experience working with Property Management Systems (PMS) or event management software is a strong asset.

Pay: $19.00-$21.00 per hour

Expected hours: 30.0 – 40.0 per week
