Position Overview
We are looking for a highly organized and detail-oriented Operations & Accounting Coordinator to join our growing team. This is a dynamic, cross-functional role that supports daily business operations, customer coordination, logistics, and foundational accounting processes.

Key Responsibilities
Front Office & Customer Coordination
· Manage incoming calls and direct inquiries professionally
· Respond to customer requests or route to appropriate teams
· Maintain accurate records of customer communications
· Support high-quality customer service delivery
RMA (Return Merchandise Authorization) Coordination & Logistics Management:
· Initiate, track, and close Return Merchandise Authorizations (RMAs)
· Coordinate with vendors, customers, and internal teams
· Maintain accurate logs and documentation
· Ensure timely resolution of returns
Receiving & Inventory Support:
· Receive and verify incoming goods against purchase orders
· Inspect shipments for discrepancies or damage
· Maintain accurate ERP/inventory system entries
· Support inventory control and stock accuracy
Accounting Support:
· Assist with Accounts Payable (invoice matching, data entry)
· Support Accounts Receivable (invoicing, follow-ups, collections)
· Maintain organized and accurate financial records
· Assist with month-end processes and reporting
Repair Coordination
· Log and manage incoming repair requests
· Create and assign repair work orders
· Communicate timelines and cost estimates to customers
· Track repair progress and ensure timely completion
· Coordinate parts procurement and invoicing
Inventory & Asset Management
· Manage tracking of rental equipment, radios, and parts
· Monitor inventory levels and equipment movement
· Maintain records for calibration and firmware compliance
· Support asset lifecycle (refurbishment, decommissioning)
Reporting & Administration
· Maintain logs for repairs and rentals
· Generate operational reports and KPIs
· Support internal coordination, scheduling, and communication
· Ensure compliance with QMS and ISO 9001:2015 processes
Qualifications & Skills
· Education: Diploma or degree in Business Administration, Accounting, or related field (preferred)
· Experience: 1–3 years of experience in administrative, operations, or accounting support
· Knowledge: Basic accounting knowledge (AP/AR)
· Computer: Strong proficiency in Microsoft Office (especially Excel)
· Reliability: Reliable, dependable, and collaborative team player
- Communication software: Familiarity with phone systems and shipping programs.
- Office equipment: Competence in using office machines such as printers, scanners and POS system.
- Data entry: Efficient typing and data entry skills with high accuracy.
- Organizational and time management: Ability to multitask, prioritize, and manage a dynamic workload in a fast-paced environment.
- Communication and interpersonal skills: Exceptional verbal and written communication, a professional phone manner, and excellent customer service skills.
- Discretion and confidentiality: The ability to handle sensitive information with a high degree of confidentiality and professionalism.
- Proactivity and problem-solving: Strong problem-solving skills with the ability to anticipate needs and take initiative.
