Position Overview
CLLC is seeking a highly organized, student-focused, and dynamic Academic Counsellor to oversee the academic operations of its online learning environment. This role is responsible for ensuring an exceptional student experience through effective academic management, teacher support, student advising, and day-to-day operational coordination.
The Online Academic Counsellor plays a key leadership role in maintaining academic quality, supporting faculty, managing student progression, and ensuring smooth communication between students, teachers, university partners, and sponsoring organizations.

Key Responsibilities
Academic Leadership & Student Support
- Oversee academic operations and student progression
- Conduct new student interviews and placement assessments
- Advise students regarding academic progress and program pathways
- Process class changes, move-ups, and academic scheduling updates
- Monitor and support student success throughout their studies
- Track student academic progress and maintain accurate records
- Manage student vacations and academic status updates
- Prepare student documentation
Student Onboarding & Orientation
- Coordinate and deliver New Student Orientation presentations
- Create and manage student accounts, usernames, passwords, and access credentials
- Add and manage students within online learning platforms including Schoology and Classter
- Assign students to classes and communicate schedules
- Create and distribute Zoom access information
- Collect and process required student documentation
- Upload and maintain student records and photos
Learning Platform & Curriculum Administration
- Manage student enrollment and course assignments in Schoology, Classter, Whiteboard, and related systems
- Assign digital textbooks and learning materials
- Create e-book accounts and provide access instructions
- Monitor and troubleshoot student access and course activation issues
- Support curriculum implementation and management
- Track one-to-one instructional schedules and hours
Student Documentation & Reporting
- Create and process:
- Interim reports
- Monthly reports
- Final reports
- Final transcripts
- Graduation certificates
- Student awards
- Prepare graduation presentations and slideshows
- Send student surveys and collect feedback
- Maintain accurate student status records
Teacher Leadership & Management
- Manage teacher scheduling and substitutions
- Conduct teacher evaluations and provide feedback
- Support onboarding, orientation, and training of teachers and substitute teachers
- Facilitate teacher communication and academic updates
- Lead or support regular teacher meetings
- Encourage a collaborative and positive team culture
Payroll & Administrative Oversight
- Enter and verify daily and bi-weekly teaching hours
- Monitor teacher vacation, personal days, and unpaid leave
- Review teacher reporting entries including:
- Attendance
- Homework
- Monthly comments
- Maintain accuracy of academic and payroll records
External Communication & Partnership Support
- Communicate with university partners and sponsoring organizations on behalf of students and CLLC
- Respond professionally to internal and external inquiries
- Support institutional initiatives and projects as required
Additional Responsibilities
- Cover campus leadership responsibilities when needed
- Support ongoing process improvement initiatives
- Perform additional duties within the scope of the role as assigned
Qualifications include:
- Postsecondary degree in Education, TESL, Administration, Leadership, or a related field
- Experience in ESL, international education, or online education environments
- Supervisory or academic leadership experience is an asset
- Experience using learning management systems and student databases
- Strong proficiency with CRM's, online platforms, educational technology, and Google Suite
- Experience in scheduling, staff coordination, and administrative systems
Job Types: Full-time, Contract
Pay: $38,000.00 per year
