Overview

We are seeking a dynamic and detail-oriented Office Assistant to join our team! This vital role offers an exciting opportunity to support daily administrative operations, ensure smooth office workflows, and provide exceptional customer service. As an Office Assistant, you will be the backbone of our office environment, handling a variety of clerical and organizational tasks with enthusiasm and professionalism. Your proactive approach will help foster a productive, welcoming atmosphere for both staff and visitors. This paid position is perfect for someone eager to develop their administrative skills in a fast-paced, supportive setting.

Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes.
Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with record retention policies.
Provide customer support by addressing inquiries professionally via phone or email, ensuring a positive experience for clients and visitors alike.
Assist with administrative tasks such as proofreading documents, scheduling appointments, and coordinating meetings to keep office operations running smoothly.
Handle clerical responsibilities including copying, scanning, faxing documents, and managing supplies inventory to maintain an efficient workspace.

Experience

Previous office experience demonstrating proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace is highly preferred.
Strong computer skills with the ability to learn new software quickly; familiarity with QuickBooks or bookkeeping software is a plus.
Proven clerical experience involving data entry, filing systems, and document proofreading.
Excellent organizational skills with the ability to multitask effectively in a busy environment.
Experience working at the front desk or handling multi-line phone systems with professionalism and courtesy.
Customer service background that highlights strong communication skills and positive customer interactions.
Prior medical or dental office experience is advantageous but not required; training will be provided for the right candidate.
