WHAT THE ROLE IS ALL ABOUT!
The Site Administrator will provide essential administrative and operational support to the project team by managing project documentation, coordinating travel arrangements, and tracking daily progress. This role involves working closely with People & Culture to assist with onboarding and ensure employees have everything needed for a positive and supportive work environment. This is a remote, rotational-based position where travel camp accommodations will be provided.
ESSENTIAL CONTRIBUTIONS WE NEED FROM YOU!
- Participate in safety meetings
- Liaise with People & Culture on onboarding and new hire requirements, while providing a welcoming experience
- Ensure new hire packages are accurately completed and promptly submitted to Payroll
- Provide exceptional customer service to all internal and external employees
- Organize and maintain a high volume of project related documents such as daily timesheets, equipment records, field project documents, invoices, purchase orders, bill of ladings, etc
- Maintain document control for hard copies and electronic files (follow SNL naming convention and file managements processes)
- Perform general administrative duties such as filing, scanning, printing, and photocopying
- Daily progress tracking of load counts/quantities
- Preparation and tracking of LEMs for time and material tracking
- Support the change management process via data entry for Labour, Equipment, and Materials
- Verify that timecard quantity entries and diaries are submitted by each supervisor
- Ensure meter hours are entered daily for all piece of equipment on the worksite
- Track, organize and maintain an adequate inventory of the office and field supplies
- Oversee and manage the ROE process for separated employees
- Review timecard entries and cross-check active employee list to ensure information is correct to submit to Payroll Department
- Generate gang sheet after timecards have been approved
- Collaborate with maintenance department to ensure an active equipment list is kept up to date
- Coordinate and arrange a high volume of travel including flight booking and accommodation requests, including arranging flights within the Goboko system
- Daily reporting of manpower
- Maintain an up-to-date employee rotation schedule
- Daily tracking of man-days for the camp
- Collaborate with Management and Recruitment for all manpower requests
- Assist head cook with food orders and logistics (smaller camps)
- Answer a high-volume of employee questions and concerns. Direction questions and concerns that fall outside of site administrator role to the appropriate contact
- Other duties as assigned
WHAT WILL MAKE YOU A POSITIVE IMPACT?
- 2+ years in an administrative role will be considered an asset
- 2+ years’ experience working in the construction industry will be considered an asset
- Post-Secondary Education in Business Administration will be considered an asset
- Advanced MS Office (Word, Excel, Outlook) is required
- Ability to learn quickly and pick up new software
- Critical thinking and effective decision-making skills are required
- Ability to work independently and as part of a team
- Ability to work under pressure and meet strict deadlines
- Strong communication skills both verbal and written as well as electronically
- Strong accuracy and attention to detail
