EXECUTIVE & ADMINISTRATIVE ASSISTANT

Full-Time | Remote | Barrie / Simcoe County

Salary: $55,000 – $65,000/year (based on experience)

ABOUT THE ROLE

We are a private construction and real estate investment group with active projects in Canada and the United States. We are hiring a sharp, organized executive assistant to support the owner directly across three areas of the business.

This is a fully remote position. You will be provided with a phone and computer. No two days are the same — you need to be self-directed, reliable, and comfortable managing multiple priorities at once.

ROLE BREAKDOWN

- 50% Construction support

- 30% U.S. market expansion research

- 20% Real estate holdings administration

RESPONSIBILITIES

- Coordinate scheduling, communications, and documentation for active construction projects

- Liaise with contractors, suppliers, inspectors, and permit offices on behalf of the owner

- Track project timelines, deliverables, and outstanding follow-ups

- Research U.S. markets, zoning, regulations, licensing, and investment opportunities

- Compile reports and summaries to support business decisions

- Manage vendor and supplier correspondence

- Assist with real estate property tracking, lease documentation, and holding company admin

- Organize digital files, contracts, and records across multiple ventures

- Handle executive tasks including scheduling, travel arrangements, and expense tracking

- Maintain confidentiality across all business operations

QUALIFICATIONS

- 2+ years in an administrative, coordinator, or executive assistant role

- Experience in construction, real estate, or a multi-venture environment is a strong asset

- Strong research and writing skills

- Highly organized with excellent attention to detail and follow-through

- Proficient in Google Suite and/or Microsoft 365

- Self-directed — able to work independently without micromanagement

- Clear and professional communicator, written and verbal

- Experience with U.S. real estate or cross-border business is a plus

- Salary: $55,000 – $65,000/year based on experience

- Full-time, Monday to Friday

- 100% remote

- Phone and computer provided

- Barrie / Simcoe County candidates preferred
