The Motor Vehicle Sales Authority of BC (“VSA”) builds public confidence in the motor dealer industry in BC by engaging and educating industry and consumers, ensuring a safe and reliable motor vehicle buying experience.
As an independent, non-profit, regulatory agency that oversees the sales of new and used personal-use vehicles, the VSA:
- licenses motor vehicle dealerships, salespeople, broker agents, broker agent representatives, and wholesalers
- provides licensing courses and continuing education for VSA licensees

What is the Role?
The Human Resources Coordinator will provide operational support to the HR Manager and employees by administering core HR processes, maintaining accurate HR data, and enhancing employee experience. This role is pivotal in ensuring HR services are timely, compliant, and delivered with confidentiality and care.
This role is 30 hours per week, typically worked over four days (7.5 hours per day), with flexibility for you to choose which days of the week work best for you.
The length of the contract for this position is 20 months from the start date.
What You'll Do:
The key accountabilities and deliverables of the Human Resources Coordinator include:
- End to end recruitment - draft and post job ads, pre-screen candidates with phone interviews, schedule interviews with hiring manager, and conduct reference checks.
- Prepare offer letters and onboarding packages, coordinate orientations and new hire training.
- Ensure IT/access provisioning, workspace readiness, and new hire documentation completion.
- Support HR Manager with offboarding tasks: exit communications, equipment return, system access removal, exit interviews, ROEs coordination with payroll.
- Maintain up-to-date employee records (contracts, changes, certifications).
- Support benefits enrollment/changes; liaise with providers for eligibility, claims issues, and life events.
- Educate employees on benefits and policies; escalate complex cases to HR Manager.
- Track completion of annual trainings and manage follow-ups.
- Help draft and update policies/procedures; communicate changes and maintain policy repositories.
- Provide first-line HR support: respond to employee questions, route issues, and document conversations.
- Take meeting minutes during employee relation discussions; maintain confidential files.
- Support engagement initiatives, recognition programs, and survey actions.
- Assist with incident reporting, documentation, and follow-up actions with supervisors.
- Coordinate with safety committees; maintain WorkSafeBC records and training logs.
- Play active role on Social Committee; organize monthly treat days and special events.
- Identify and implement process improvements to enhance HR service delivery.
- Other duties and tasks, as assigned by HR Manager.

Your Experience and Educational Background

While it is understood that a candidate may not possess all the competencies noted below, it is expected that over time, the candidate will demonstrate most, if not all, of these aspects:
Required:
- Bachelor’s degree in human resources management required.
- 2–4 years of HR experience in coordination or assistant capacity.
- Strong proficiency with HRIS and ATS systems; Microsoft 365 (Excel, Word, Outlook, Teams).
- Exceptional organization, time management, and attention to detail.
- High level of discretion with confidential information; strong ethics.
- Clear verbal and written communication skills; ability to build trust at all levels.
- Working knowledge of BC Employment Standards Act and WorkSafeBC practices.
A combination of relevant education and experience will be considered.
