Position Summary
We are seeking a professional, organized, and proactive Receptionist & Office Administrator to serve as the face of our office. This multifaceted role goes beyond traditional front-desk duties, offering critical administrative support to our Property Managers and Accounting department. The ideal candidate is detail-oriented, reliable, and capable of managing both physical office operations and essential property management documentation.
Key Responsibilities
Front Desk & Office Operations
- Visitor & Phone Management: Greet guests professionally and handle a high-volume multi-line switchboard, directing calls and inquiries to the appropriate departments.
- Mail & Logistics: Manage all incoming and outgoing mail, couriers, and deliveries, ensuring prompt distribution to internal teams.
- Office Maintenance: Maintain office efficiency by monitoring and ordering office and kitchen supplies.
- Opening & Closing Procedures: Responsible for daily office readiness, including managing the phone system's day/night modes, securing filing cabinets, maintaining common areas (e.g., kitchen dishwasher), and basic office plant care.
Property Management & Leasing Support
- Purchase Orders (POs): Generate and track POs for the Property Managers as requested.
- Leasing Administrative Support: Facilitate the tenant application process by conducting background credit checks on prospective commercial and retail applicants.
- Data & Document Management: Maintain accuracy of physical and digital records. Update the Tenant Master list, rent rolls, CAM binders, and other essential property portfolios. Handle scanning, photocopying, and secure filing.
Accounting Support & General Administration
- Accounts Payable Assistance: Manage the incoming invoices and utilities email inbox. Print, date-stamp, and systematically match invoices with their corresponding POs for accounting approval.
- Tenant Accounts Support: Assist the accounting team with following up on tenant deposits and systematically collecting monthly/annual sales figures from retail tenants.
- Ad-Hoc Projects: Complete miscellaneous administrative tasks, special projects, and other ad-hoc duties as requested by management or the executive team to support daily operations.
Qualifications & Requirements
- Experience: 1–3 years of experience in a front desk reception, administrative assistant, or office coordinator role. Experience within real estate, property management, or construction is a strong asset.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with property management software (such as Yardi or Jonas) is a plus.

Pay: From $18.00 per hour
