About the Opportunity
We're a small commercial real estate team of three agents based in Ajax, focused on leasing and sales across the Durham Region — primarily Pickering and Ajax. As our business continues to grow, we're looking for a Sales Support Coordinator to play a key role in keeping things running smoothly behind the scenes.
This is a full-time, in-office, permanent position. You'll be closely involved in day-to-day operations — keeping listings, communication, and transactions organized and moving forward efficiently. Your work will directly shape how we serve clients and grow the business.
We're looking for someone who takes pride in being organized, dependable, and detail-oriented, and who enjoys working in a fast-paced, collaborative environment.
Experience in commercial real estate is preferred but not required. We're equally open to candidates who are motivated, dependable, quick learners, and strong communicators — people who can handle a fast-paced environment with tight deadlines and bring a keen eye for detail. Experience in marketing, graphic design, or legal/contract administration is considered an asset.
What You'll Do
This is a hands-on role that touches every part of the business — from client communication to marketing to transaction coordination — helping ensure nothing gets missed and everything runs smoothly.
As a small team, there will be times when you're asked to help with tasks outside the list below. We value flexibility and a willingness to pitch in — it's part of what makes a small team work well.
Client & Lead Communication
- Respond to calls, emails, and inquiries professionally and promptly
- Coordinate showings, confirm appointments, and collect feedback
- Keep clients and agents aligned throughout the process
- Track listing activity and prepare client updates and reports
Listings & Documentation
- Prepare listing agreements, representation documents, and other paperwork
- Create and maintain MLS listings; update details as needed
- Send documents for e-signature and organize executed files in OneDrive
- Track key dates — conditions, expiries, price changes, etc.
- Maintain organized listing files
- Assist with FINTRAC and other required compliance documentation
Marketing & Property Presentation
- Take photography and create floor plans for listings
- Write property descriptions and create brochures and other marketing materials
- Support social media content, email campaigns, and newsletters
- Maintain CRM records (currently Streak), keeping data organized and up to date
Transaction Coordination
- Prepare offers, counteroffers, amendments, and related documents accurately
- Track deposits, conditions, and other closing requirements
- Follow up on deadlines to keep deals moving forward
- Ensure all files are complete, signed, and properly organized before closing
Administrative & Financial Support
- Prepare invoices and calculate commissions
- Submit listing and deal paperwork in SkySlope
- Help coordinate team calendars and scheduling
- Support general day-to-day business needs as required
What We're Looking For
Commercial real estate experience is strongly preferred but not required — we're open to candidates from strong administrative backgrounds who are sharp, self-motivated, and eager to learn.
- Administrative experience
- Highly organized, detail-oriented, and reliable
- Clear, professional communication — written and verbal
- Comfortable learning new technology quickly (Webforms, Realm, SkySlope, BrokerBay, and Adobe tools considered an asset)
- Strong ownership mindset — you follow through and don't let things fall through the cracks
- Positive, team-oriented attitude
- Marketing, design, or contract/legal experience is a bonus
- Valid driver's license and reliable vehicle (occasional travel within Durham Region)
