Job Summary
We are looking for a Operations & Inventory Supervisor who is accountable for safe, effective day-to-day warehouse execution and the integrity of client-held inventory. The role directs the work of the site team, executes the Site Operations Plan, coordinates with clients, carriers and vendors, and maintains process control, transaction discipline, record accuracy and inventory performance across SAP and other approved systems. This is a frontline supervisory role with functional ownership of inventory control. It combines hands-on shift leadership with responsibility for inventory accuracy and related processes; it is not intended to carry the education, tenure or enterprise-level authority of a standalone inventory manager.
Duties and responsibilities
1. People Leadership & Work Coordination
- Assign, prioritize and monitor daily work for Material Analysts, Material Handlers and other warehouse staff, ensuring responsibilities and service expectations are clear.
- Coach employees, provide practical feedback, reinforce team standards and support formal performance management with the Operations Manager while promoting a positive and respectful work environment.
- Ensure employees are trained and competent for assigned duties; identify training gaps and support cross-training to maintain operational coverage.
- Maintain effective shift handovers and clear communication among employees, management and other operational groups.
2. HSSE & Operational Compliance
- Act as a visible safety leader and ensure HSSE policies, procedures and site requirements are communicated, understood and followed by all assigned staff.
- Monitor work practices associated with material handling, loading, unloading, warehouse equipment and work near heavy equipment or outdoor operating areas.
- Stop or redirect unsafe or non-compliant work, address immediate hazards within the role's authority, and ensure incidents, control gaps, inspections and related records are addressed or escalated in accordance with procedure.
3. Warehouse Operations
- Execute the Site Operations Plan and coordinate daily priorities so work is completed safely, productively and in line with client expectations.
- Oversee receiving, inspection, verification, put-away, storage, picking, staging, loading and shipping of incoming and outgoing materials.
- Confirm material movements are physically and systemically complete, including required documentation and SAP or other approved system transactions.
- Coordinate with carriers, shippers, vendors and internal stakeholders to manage deliveries, collections, exceptions and changing priorities while balancing the needs of different business lines.
- Ensure daily and weekly administrative tasks, shift records and operational reports are complete and reliable.
4. Inventory Control & Systems
- Plan, administer and control client-held inventory within the assigned operation, maintaining a high degree of process control and inventory accuracy.
- Schedule and perform cycle counts, physical inventory counts and targeted recounts; investigate physical-to-system variances and track approved corrections through closure.
- Maintain accurate record keeping and transaction discipline across SAP and other client or internal systems; verify that supporting documentation is complete.
- Monitor inventory-control KPIs, count completion and variance trends; support audits, client material initiatives and system or process changes affecting material control.
5. Client Service & Continuous Improvement
- Serve as the primary shift-level liaison for operational and inventory matters, communicating with the client, vendors, management and employees in a professional manner.
- Provide timely updates on service issues, inventory discrepancies, system constraints, resource needs and corrective actions, and recommend practical improvements to productivity, quality, accuracy and material flow.
- Participate in root-cause reviews and ensure assigned corrective or improvement actions are implemented and sustained.
Decision Rights & Escalation
The role is expected to make timely frontline decisions within approved procedures and the Site Operations Plan. The supervisor may:
- Allocate and reprioritize work within the assigned shift or team.
- Stop or redirect work where safety, compliance, quality or inventory integrity is at risk.
- Initiate recounts, transaction reviews, routine variance investigations and approved corrective actions.
- Coordinate available labour, equipment and workflow within the approved operating plan.
Qualifications
- High school diploma or equivalent.
- Two to three years of supervisory or team-lead experience in warehousing, materials management, logistics or a comparable industrial operation.
- Practical knowledge of warehouse processes, including receiving, shipping, material handling, inventory counts and inventory-control fundamentals.
- Experience using a warehouse, inventory or enterprise resource planning system, with demonstrated accuracy in data entry and record keeping; proficiency with Microsoft Word and Excel.
- Proven leadership, coaching, communication, problem-solving and conflict-resolution skills, with strong attention to detail and the ability to organize competing priorities under pressure.
Preferred Qualifications
- Experience with SAP inventory management.
- Post-secondary certificate or coursework in business, supply chain, logistics or a related field.
- Experience in a rotational camp, oil sands or other heavy-industrial operating environment.
- Experience safely operating common warehouse equipment, holding applicable certifications, and working directly with client representatives, carriers or vendors.
Working Conditions
The position operates across warehouse, office and outdoor environments in a fast-paced industrial setting around delivery vehicles, material-handling equipment and other heavy equipment. Daily and weekly administrative work and prolonged periods using a computer are expected.
- Regular standing and walking through warehouse and yard areas, light to moderate lifting as required, use of required personal protective equipment, and compliance with all site-access, fitness-for-duty and safety requirements.
