Full job description

About the Role

We are seeking a highly organized, proactive Administrative Assistant / Office Manager to support daily operations and ensure the smooth functioning of our office. This role is ideal for someone who thrives in a fast‑paced environment, takes ownership of their work, and brings professionalism and warmth to every interaction.

Key Responsibilities

Office Management — Oversee day‑to‑day office operations, maintain supplies, and ensure a clean, efficient workspace.
Administrative Support — Manage calendars, schedule meetings, prepare documents, and support consultants with administrative tasks.
Client Service — Client meeting and file preparation, greet clients, answer calls and emails, and provide a positive, professional first point of contact.
Record Keeping — Maintain organized digital and physical filing systems, track correspondence, and support compliance requirements.
Project Coordination — Support internal projects, prepare meeting materials, and help keep initiatives on schedule.
Team Support — Assist staff with administrative needs, coordinate internal communications, and help maintain a positive office culture.

Qualifications

Previous experience in an administrative, office management, or customer service role.
Excellent organizational skills with attention to detail.
Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort with learning new software.
Strong written and verbal communication skills.
Ability to manage multiple priorities and work independently.
Professional, friendly, and solutions‑oriented approach.
Experience in financial services or professional services is an asset but not required.
