Company Description

Team Armstrong is a growing team of Mortgage Agents and Brokers operating under Mortgage Architects. We pride ourselves on providing exceptional service to our clients, with an emphasis on timely communication and a strong commitment to client satisfaction. We're looking for a Mortgage Assistant to join our London office and support our growing team as we expand.

Job Description

You'll play a key role in supporting our brokers' day-to-day operations: collecting and reviewing client documentation for accuracy, coordinating with lenders, lawyers, and other parties to see files through to completion, keeping communication flowing smoothly for a positive client experience, and helping with marketing initiatives. We're looking for someone highly organized, detail-oriented, comfortable multitasking in a fast-paced environment, and who takes initiative.

Responsibilities

Manage and organize the broker's calendar, including scheduling meetings and appointments
Monitor and respond to email communications promptly and professionally
Proactively communicate with clients and all parties involved in a mortgage transaction
Review documents for accuracy while managing files and records
Prepare accurate, timely disclosure and compliance documents for each transaction
Maintain and update client records in our CRM (Salesforce), including outbound calls to existing clients
Support the team with ad-hoc projects and initiatives as needed

Skills & Qualifications

Able to prioritize and manage multiple assignments efficiently in a fast-paced environment
Comfortable working independently with minimal supervision while contributing to a team
High level of discretion in handling confidential client and financial information
Resourceful problem-solver, able to make sound decisions independently
Strong accuracy, attention to detail, and organizational skills
Tech-savvy and comfortable in a fully paperless working environment
Excellent interpersonal, written, and verbal communication skills
Fluent in English (required)

Education & Experience

Bachelor's degree or college diploma preferred
Ontario Mortgage Agent license an asset (or willingness to work toward one)
Prior administrative experience required; experience in mortgage, financial services, or a related industry strongly preferred
Proficient in MS Office (Outlook, Word, Excel, PowerPoint)
Salesforce experience preferred

Job Type: Full-time, permanent, in person

Salary: $40,000 - $45,000 + Bonus
