We are looking for an experienced, organized and highly trustworthy Bookkeeper & Payroll Administrator to join our office team in Collingwood.
This is a full-time, in-office position supporting a multi-location restaurant organization. The successful candidate will be responsible for both day-to-day bookkeeping and bi-weekly payroll administration and will work closely with ownership and restaurant managers.
Because this position has access to sensitive employee, payroll and financial information, discretion and confidentiality are essential.
Bookkeeping Responsibilities
- Enter and code invoices in QuickBooks
- Process vendor payments by cheque and electronic banking
- Import and reconcile sales information in QuickBooks, including HST
- Process and reconcile vendor invoices using Dext and QuickBooks
- Complete intercompany transactions and transfers
- Reconcile store deposits against bank activity and investigate discrepancies
- Prepare and submit CRA tax instalments and HST remittances
- Prepare WSIB remittances
- Maintain banking and bookkeeping supplies and documentation
- Assist ownership in preparing year-end information for the accountant
- Complete monthly reconciliation of payouts and voids
Payroll Responsibilities
- Review employee timecards for accuracy, including missed punches, breaks and unusual shifts
- Communicate with restaurant managers to resolve payroll discrepancies
- Maintain and process employee payroll changes, including address and SIN updates, terminations, leaves of absence, vacation requests and bonus payments
- Maintain employee rental and utility information and verify rent deductions
- Process bi-weekly payroll through Payworks
- Review payroll calculation reports and reconcile payroll prior to submission
- Prepare and submit Records of Employment (ROEs)
- Prepare printed pay stubs when required
- Maintain payroll recap and reporting spreadsheets for ownership and management
- Prepare and process year-end T4 information
- Maintain accurate and organized employee records and files
What We're Looking For
The ideal candidate is someone who is extremely organized, accurate and dependable and who takes pride in getting the details right. You should be comfortable working independently, following established processes and identifying something that doesn't look right rather than simply processing it.
We are looking for:
- Previous bookkeeping and/or payroll experience
- Experience with QuickBooks
- Payroll processing experience; Payworks experience is an asset
- Experience with Dext is an asset
- Strong understanding of reconciliations and basic accounting principles
- Familiarity with CRA remittances, HST, WSIB, ROEs and T4s
- Strong Excel skills
- Excellent attention to detail
- Strong organizational and communication skills
- Ability to manage confidential financial and employee information with absolute discretion
- Ability to work independently and meet recurring payroll and remittance deadlines
Experience working with a multi-location business, restaurant organization or similarly high-volume payroll environment would be an asset.
