Sales Coordinator

Position Summary

As a Sales Coordinator, you will play a key role in supporting the day-to-day operations of our sales department. Your strong organizational skills and attention to detail will help ensure smooth communication between departments, efficient handling of paperwork, and exceptional customer service.

Key Responsibilities

Process and manage all purchase orders and invoices for new and used equipment.
Assign unit numbers and verify serial numbers for all equipment.
Maintain unit stock sheets and various sales-related spreadsheets.
Register warranties for new equipment (sold or assigned to rental).
Prepare demo agreements and coordinate sales hauling logistics.
Handle all hauling-related purchase orders and invoices.
Manage incoming sales calls and route appropriately.
Maintain organized unit files and inventory binders.
Open and close internal work orders for new/used/rental units.
Upload photos of inventory as required.
Invoice sales transactions and ensure proper documentation is complete.
Communicate with leasing companies to secure all necessary paperwork.
Track payments and follow up when needed.
Provide general support to the sales team and manager.
Arrange internal transfers of units between locations.
Support service department when needed.
Process rental and leasing contracts, monthly billing, and credit card transactions.
Manage incoming rental inquiries, provide quotes, and maintain rental spreadsheets.
Build and maintain positive relationships with rental customers.
Assist the Sales Manager with additional tasks as assigned.

Qualifications

1–5 years of administrative or sales support experience (automotive or heavy truck industry preferred).
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Experience with CRM systems (e.g., Salesforce) is an asset.
Detail-oriented, customer-focused, and able to work independently.
